Why does this role exist?
The operations lead is spending too much time in bookkeeping and operations, which is impacting sales opportunities and confidence in the numbers. This role exists to take full ownership of financial operations in NetSuite—ensuring accurate reconciliations, timely month-end close, and management reporting—so leadership can make decisions quickly and trust the data. Ultimately, you’ll restore financial clarity and cadence while enabling the team to focus on growth.
The Impact you’ll make
Bank and GL Reconciliations
- Reconcile multiple bank and credit card accounts in NetSuite on a weekly/daily cadence
- Clear outstanding items, investigate discrepancies, and prepare inter-account transfers
- Maintain audit-ready reconciliation schedules and supporting documentation
AP, PO Matching, and Payments
- Match vendor invoices to POs in NetSuite; code, post, and schedule vendor payments
- Coordinate payment runs, maintain vendor terms, and ensure the payroll account is funded
- Resolve vendor discrepancies proactively and keep vendor records current
Month-End Close and Management Reporting
- Own the close calendar: post accruals/adjustments, review subledgers, and lock the books
- Produce timely, tax-ready management reports and packages for the external accountant
- Build saved searches/dashboards in NetSuite to support management decision-making
Process Ownership and SOPs
- Create onboarding SOPs and lead a first-week handover with the on-site team/accountant
- Document workflows for bank recs, AP, payments, and the month-end close checklist
- Strengthen internal controls and implement lightweight process improvements
Skills, Knowledge and Expertise
Required:
- Proven, hands-on NetSuite bookkeeping/controller experience (non-negotiable)
- Proven experience owning reconciliations and month-end close in a small-to-mid-sized business
- Demonstrated AP/PO matching and vendor payment processing within NetSuite
- Strong track record with multi-account bank reconciliations and consolidation
