As a Virtual Assistant, you will serve as the backbone of our day-to-day operations. You will support leadership, manage communications, keep our internal systems running smoothly, and be a trusted partner to the people and teams you serve. What You Will Do

Administrative & Calendar Management

  • Own and manage executive calendars, including scheduling meetings, appointments, calls, and personal commitments across multiple time zones
  • Send meeting confirmations, reminders, and follow-up notes
  • Prepare agendas, take meeting minutes, and distribute action items to relevant stakeholders
  • Coordinate and book travel arrangements including flights, hotels, ground transportation, and itineraries

Email & Communications Management

  • Monitor, sort, and respond to emails on behalf of executives or team leads
  • Draft professional correspondence including client emails, internal memos, and follow-up messages
  • Maintain a well-organized inbox with clear labeling, folder structures, and priority flags
  • Screen and route inbound communications to the appropriate team members

Data Entry & Document Management

  • Input, update, and maintain data in CRM systems, spreadsheets, and internal databases with a high degree of accuracy
  • Create, format, proofread, and organize documents, reports, presentations, and forms
  • Maintain digital filing systems that are easy to search, access, and update
  • Assist with the preparation of client-facing proposals, invoices, and contracts

Project & Task Coordination

  • Track ongoing projects using tools such as Asana, Trello, Monday.com, or ClickUp
  • Follow up with team members on outstanding tasks to ensure deadlines are met
  • Support the coordination of company events, team meetings, product launches, and campaigns
  • Help manage recurring workflows and identify opportunities to improve efficiency

Research & Reporting

  • Conduct internet research on topics including competitors, vendors, products, industry trends, and best practices
  • Compile research findings into clean, concise summaries or reports
  • Assist in gathering data for presentations or strategic planning sessions
  • Track and report on key performance indicators as assigned

Personal & Lifestyle Support (for Executive Assistants)

  • Assist with personal scheduling, gift purchasing, appointment booking, and other life administration tasks as needed
  • Handle sensitive and confidential information with the utmost discretion

 

What We Are Looking For

Required Skills & Qualifications

  • Exceptional written and verbal communication skills in English
  • Strong organizational skills with the ability to manage multiple priorities simultaneously
  • High level of professionalism, discretion, and reliability
  • Comfortable working independently with limited supervision in a remote environment
  • Proficiency with standard digital tools: Google Workspace (Gmail, Calendar, Docs, Sheets, Drive), Microsoft Office (Word, Excel, Outlook), and video conferencing platforms such as Zoom or Microsoft Teams
  • Solid typing skills (minimum 50 WPM preferred)
  • Ability to meet deadlines consistently while maintaining quality

Preferred Skills & Experience

  • 1–3 years of administrative, executive assistant, or virtual assistant experience
  • Experience with project management tools such as Asana, Trello, Monday.com, or Notion
  • Familiarity with CRM platforms such as HubSpot, Salesforce, or Zoho
  • Basic bookkeeping or invoicing experience
  • Experience supporting C-suite executives or small business owners
  • Knowledge of AI tools such as ChatGPT or Claude to assist with drafting and research

 

Work Environment & Schedule

This role is 100% remote. You will never be required to commute or report to a physical office. We operate primarily on asynchronous communication, meaning you set your daily schedule within reason. Most tasks have same-day or next-day turnaround expectations rather than real-time requirements. We hold two optional team check-ins per week via video call.

We trust our team members to manage their time professionally. Whether you prefer to work early mornings, during school hours, evenings, or a combination — as long as your work is done with quality and on time, we respect your schedule.
