Role Overview

We are looking for a highly organized, proactive, and extremely responsive Virtual Assistant / Executive Assistant to support our CEO, with a strong focus on managing travel for our US-based managers, in a fast-paced, global environment. The most important part of this role is travel coordination / management (e.g., booking and updating flights, arranging accommodation, and organizing pick-ups). This role is ideal for someone who thrives in high-pressure situations, enjoys managing complex schedules, and can handle travel and meeting coordination with strong attention to detail.

This is a remote contractor/freelancer role requiring availability aligned with Eastern Time (ET) and the UK Time Zone.

Key Responsibilities
  • Calendar management: Manage and optimize the CEO’s calendar across multiple time zones (ET/UK), including prioritization, scheduling, rescheduling, and conflict resolution

  • Travel coordination / management (most important part of the role): Book and update flights, arrange accommodation, and organize pick-ups/transfers for the CEO; ideally also manage travel for all US-based managers, who travel frequently, including itineraries and last-minute changes

  • Coordinate internal and external meetings with executives, partners, and customers

  • Organize and manage executive travel (flights, hotels, transfers, itineraries, last-minute changes)

  • Handle inbox/email support, including professional drafting and follow-ups

  • Support communication and coordination via Slack, WhatsApp, email, and calls

  • Assist with expense tracking, receipts, and basic administrative support

  • Handle urgent requests quickly and efficiently with strong attention to detail

Required Qualifications
  • Proven experience supporting senior executives as a Virtual Assistant / Executive Assistant

  • Strong experience with calendar management and scheduling across time zones

  • Strong experience in executive travel coordination (international travel preferred); experience managing travel for multiple executives at once

  • Excellent written and verbal communication skills in English

  • Highly responsive, reliable, and able to manage urgent last-minute changes

  • Strong organizational skills with close attention to detail

  • Availability aligned with Eastern Time Zone (ET) and/or UK Time Zone

Compensation: $1,500 - $2,000 monthly salary.
