We are seeking a highly organized, dependable, and proactive Virtual Assistant to provide remote administrative, organizational, and customer support. The Virtual Assistant will assist with scheduling, email management, data entry, document preparation, customer communications, research, and day-to-day administrative tasks.

The ideal candidate is self-motivated, detail-oriented, comfortable working independently, and able to manage multiple priorities while meeting deadlines.

Key Responsibilities

Administrative Support

  • Manage calendars, appointments, meetings, and schedules.
  • Organize files, documents, emails, and digital records.
  • Prepare reports, spreadsheets, presentations, and other business documents.
  • Enter and update information in databases, spreadsheets, and company systems.
  • Maintain organized electronic filing systems.
  • Track deadlines, tasks, and follow-up items.
  • Assist with general administrative projects as assigned.

Email and Communication Management

  • Monitor and organize business email accounts.
  • Respond to routine emails and inquiries professionally.
  • Draft correspondence, announcements, and internal communications.
  • Prioritize messages and identify items requiring management attention.
  • Coordinate communication between clients, customers, vendors, and internal team members.
  • Maintain professional communication on behalf of the company when authorized.

Scheduling and Calendar Management

  • Schedule meetings, appointments, interviews, and calls.
  • Send calendar invitations and meeting reminders.
  • Coordinate schedules across multiple time zones when necessary.
  • Reschedule appointments and communicate changes to participants.
  • Prepare meeting agendas and supporting materials when requested.

Customer and Client Support

  • Respond to customer or client questions by email, phone, or chat.
  • Provide accurate information about company services and processes.
  • Track customer requests and follow up as needed.
  • Escalate complex issues to the appropriate team member.
  • Maintain accurate customer and client records.
  • Provide professional and courteous service at all times.

Data Entry and Research

  • Enter and maintain accurate information in company systems.
  • Conduct online research and compile relevant information.
  • Prepare research summaries and reports.
  • Verify information for accuracy and completeness.
  • Maintain spreadsheets and databases.
  • Assist with data organization and cleanup projects.

Social Media and Online Support

When applicable, the Virtual Assistant may:

  • Schedule social media posts.
  • Assist with basic social media administration.
  • Monitor comments and messages.
  • Prepare content calendars.
  • Organize digital marketing materials.
  • Update website or online profiles as directed.

Business and Operations Support

  • Assist with invoices, expense tracking, and basic administrative financial tasks.
  • Coordinate with vendors and service providers.
  • Track orders, subscriptions, and business accounts.
  • Prepare documents for management review.
  • Assist with project coordination and follow-up.
  • Monitor assigned tasks and provide status updates.
  • Support other departments with administrative needs.

Required Qualifications

  • High school diploma or equivalent.
  • Previous administrative, customer service, virtual assistant, or office experience preferred.
  • Strong written and verbal communication skills.
  • Excellent organization and time-management abilities.
  • Strong attention to detail.
  • Reliable internet connection and suitable remote-work environment.
  • Proficiency with email, calendars, word processing, and spreadsheets.

Preferred Qualifications

  • 1–3 years of administrative or virtual assistant experience.
