Introduction: FlyFlat is looking for detail-oriented and proactive Travel Operations Coordinators to join our growing travel and concierge operations team. This role focuses on two core functions: billing and itinerary creation. As an Operations Specialist, you’ll be at the heart of our workflow, juggling multiple payment methods and curating seamless travel experiences for clients.

Responsibilities:

Billing & Payment Processing

  • Generate and manage invoices using FreshBooks.
  • Process payments via Stripe, Crypto, PayPal, Wire Transfer, and ACH.
  • Reconcile transactions across payment methods and ensure billing accuracy.
  • Collaborate with internal teams to resolve any billing discrepancies promptly.

Itinerary Management

  • Create polished travel itineraries using Travefy.
  • Incorporate client preferences such as seat selection, Known Traveler Numbers, and Frequent Flyer Numbers.
  • Coordinate with the Concierge and Booking teams to ensure timely and accurate delivery of client-facing materials.
  • Build client-ready itineraries that reflect premium service standards.

Operational Support

  • Execute daily booking workflows with precision and speed.
  • Ensure bookings and operational tasks are completed within established timelines.
  • Follow internal SOPs and proactively flag areas for improvement.
  • Support day-to-day booking operations while identifying opportunities for process improvements.

Qualifications

  • 1–2 years of experience in travel operations, coordination, or a related role.
  • Experience using FreshBooks, Stripe, or similar billing tools.
  • Familiarity with itinerary-building software (especially Travefy).
  • Understanding of travel logistics, including KTN, FFN, and passenger preferences.
  • Strong attention to detail and ability to meet deadlines consistently.
  • Excellent written and verbal English communication skills.
  • Comfortable working remotely in a high-volume, fast-paced environment.
  • Experience with Slack, Google Sheets, and Asana is a plus.

Compensation and Employment Details:

  • Compensation - $500 - $800 per month depending on experience and performance
  • Type: Full-Time (5 days/week)
  • Shifts: 9-hour shifts (including 1-hour break); day or night shifts depending on business needs.
