We are a US-licensed brokerage and business development company partnering with high-producing real estate agents who close approximately $5 million to $25 million in annual sales. We are launching a national Transaction Coordination service as part of our broader real estate agent platform.
We have developed the operational architecture, legal framework, software stack, compliance resources, transaction workflows, communication templates, and AI-assisted intake process. We are hiring experienced Transaction Coordinators to manage active files, maintain consistent communication, follow documented workflows, and provide dependable support to our agent partners and their clients.
THIS IS A PRODUCTION-FOCUSED TRANSACTION COORDINATOR ROLE.
You will keep assigned files accurate, organized, compliant, and moving forward from contract to close.
Manage assigned real estate transactions from executed contract through closing.
What You'll Do
- Review contracts and transaction documents for completeness.
- Open and maintain files in Dotloop, SkySlope, Transaction Desk, and other assigned systems.
- Enter accurate transaction details into the appropriate platforms.
- Track contractual dates, contingencies, deposits, inspections, financing deadlines, appraisals, and closing requirements.
- Send approved emails, text messages, reminders, and status updates.
- Request missing documents, signatures, and required information.
- Coordinate with agents, clients, lenders, title companies, escrow officers, attorneys, inspectors, and other transaction parties.
- Maintain complete file notes and current transaction statuses.
- Follow state-specific checklists, brokerage procedures, and compliance requirements.
- Prepare files for quality control and broker compliance review.
- Identify missing information, contract discrepancies, and potential transaction risks.
- Protect confidential client, agent, and transaction information.
- Participate in team meetings, training, coaching, and quality reviews.
- Apply feedback and process updates to future files.
Requirements
- 2+ years of experience as a real estate Transaction Coordinator.
- Experience managing residential real estate transactions from contract through closing.
- Experience supporting at least 50 closed transaction files.
- Working knowledge of real estate contracts, disclosures, contingencies, timelines, and closing procedures.
- Hands-on experience with at least one of these platforms: Dotloop, SkySlope, or Transaction Desk.
- Ability to learn and work across multiple transaction management systems.
- Familiarity with buyer representation agreements and current MLS requirements.
- Strong written and spoken English.
- Professional communication skills and consistent follow-through.
- Ability to manage multiple files, deadlines, and priorities.
- Ability to follow documented processes and approved communication standards.
