Job Description

Overview:

The Temporary Assistant Digital Marketing Coordinator is responsible for supporting the SoCal/AZ Marketing team in the execution of all housing and land/master planned marketing initiatives in the most professional, efficient and profitable manner. This is in an effort to attain the company’s goals and objectives set out in its annual and 5-year business plan.
This position is responsible for daily support of all related activities. Support the Marketing Manager/Director and Digital Analyst with overall marketing communications, digital, market research efforts and support ongoing project management, including the coordination of all sales office needs, marketing collateral, invoicing, events, model maintenance, etc. Also a support team member for sending eblasts and publishing web updates.

This is a temporary six month assignment.
 

Key Responsibilities:

  • Approve estimates at the direction of Marketing Manager(s)/Director(s) and process back to consultants/vendors.

  • Support coding of marketing invoices as 1st Approver for housing and master plans using APR and LandDev on a weekly basis.

  • Flag invoice concerns; call and follow up with vendors on invoice questions, coordinate approval from Marketing Manager(s)/Director(s) for timely delivery to accounting.

  • Responsible for creating, tracking sending Contracts, POs, VPOs, Check Requests, etc.

  • Commit/track signed estimate costs to budgets and saving estimates in folders.

  • Responsible for gathering new vendor paperwork for accounting.

  • Code all Department credit card charges in Concur with receipt back-up on monthly basis.

  • Pull interest leads and share with the team.

  • Gather bids, award contracts (interior cleans, plants, landscape) and make vendor recommendations.

  • Support basic graphic design and In-Design production of flyers.

  • Support the Marketing Manager in coordination of all signage, renderings, floor plans, community brochures, aerial displays, impact graphics, builder story, site displays, necessary HUD plaques, color boards, standard features displays, maps, related collateral, and model maintenance contracts.

  • Proofread and check details on web and all collateral.

  • Support Marketing Manager in coordination of any master plan signage issues and liaison with PM on amenity work needed.

  • Act as the daily contact for guest builder sales teams in Master Plans.

  • Support Guest Builder and Sales Team Quarterly Roundtables in Master Plans.

  • Coordinate Master Plans community lifestyle events for residents and prospects.

  • Keep collateral stocked and up to date, coordinate all in-house and online printing needs.

  • Coordinate orders of sales office supplies, including copier, business cards, letterhead, price sheets, brochures, Amazon orders, coffee orders, etc to help the sales teams stay on budget.

  • Act as a first respondent and problem solver to vendor issues.

  • Responsible for replacing/reordering stolen merchandise and coordinating the install of them with the designer/model maintenance representative.

  • Resolve cleaning, landscape and tech issues.

  • In charge of coordinating all model maintenance, including carpet cleans, golf carts, interior cleaning, plant maintenance, landscape, and working closely with the model maintenance handy man on scheduling and priority setting.

  • Coordinate all aspects of sales center IT planning through installation, including checklist and/or project timeline with all deliverables.

  • Responsible for the planning and execution of all model conversions with Marketing Manager.

  • Support contact for Brookfield sales team, fielding inquiries and promptly responding to team member requests.

  • Support Marketing Manager with maintenance of all ongoing displays and special/seasonal promotions.

  • Coordinate model music, scents and TV videos.

  • Assist with coordination of community and lifestyle events such as dusty shoe walks, realtor events, private previews, grand openings, holiday events, etc.

  • Help with event coordination.

  • Order lunches for meetings or events.

  • Plan department team days and department/region volunteer days.

  • Coordinate all award submissions with Marketing Manager and maintain a detailed list of awards won/received, on an as needed basis .

  • Coordinate gifts for consultants and vendors as needed.

  • Coordinate Brookfield collateral inventory for communities (mats, hard hats, pens, pop-up tent, etc.)

  • Create and manage inventory of milestone gifts (if applicable) – responsible for ordering, creating and delivering contract gifts & closing gifts, as needed.

  • Coordinate all neighborhood collateral pieces, including letterhead, price sheets, frequently asked question sheets, FACT sheets, brochures, realtor collateral, etc. as necessary.

  • Inventory, organize, and maintain all collateral and marketing supplies in marketing storage locations.

  • Create, maintain, and update all internal marketing displays and bulletin boards.

What You'll Bring:

  • College degree with class or intern experience in Business, Marketing, and/or Communications.

  • 1+ years of work experience in marketing.

  • Strong analytical and problem-solving skills.

  • Strong computer application skills with proven proficiency in MS Office, including Excel, Word, Outlook and PowerPoint, with a technical aptitude to learn new and/or customized programs quickly.

  • Experience with Canva or InDesign is a plus.

  • Strong interpersonal communication techniques and strategies to convey information that promotes complete understanding.

  • Ability to take charge of holding people accountable and driving results.

  • Strong written communication skills in order to convey information clearly and concisely.

  • Ability to act as a team player by actively communicating relevant information and sharing thoughts, feelings and rationale.

  • Ability to take ownership and have strong attention to detail.

  • Ability to maintain a positive attitude.

  • Must be available to work a flexible work schedule (limited times) for supporting related grand opening and community events, special projects such as neighborhood information nights.

  • This position is located in the Costa Mesa office and requires collaboration with the marketing team members in the Costa Mesa office.
