Position Summary:

The Sr. Transaction Closing Specialist is a liaison between Crexi clients, title and escrow companies and makes sure that transactions with Crexi Auctions close smoothly and on time. The role tracks and ensures that all documentation and disclosures from associated parties are properly filed to prevent any potential delay in closing.

 

Responsibilities/duties:

  • Orders, tracks, and communicates the status of all third‑party reports, ensuring documents are posted to the data vault before auction and updated after contract execution.
  • Underwrites title commitments by identifying curative items, clearing exceptions when possible, or coordinating PSA addendums to ensure marketable title.
  • Manages Subject To sales, educates winning bidders, maintains engagement through the review period, facilitates renegotiations when needed, and ensures amended contract terms are executed prior to escrow.
  • Creates, edits, and finalizes closing documents in Adobe to support efficient closing workflows.
  • Manages DocuSign processes, including editing, correcting, re-routing, voiding, and cloning documents to maintain data integrity.
  • Identifies risks and potential closing delays and helps address issues proactively to avoid escalations and keep transactions on schedule.
  • Communicates effectively across all parties, provides guidance based on PSA terms, resolves conflicts, and mitigates fallout during escrow.
  • Organizes communication among sellers, buyers, brokers, attorneys, escrow, and title, maintaining clarity while safeguarding confidential or privileged correspondence.
  • Demos and promotes the Crexi Closing Dashboard, ensuring accurate capture of communications, checklists.
  • Tracks revenue for closed transactions; collaborates with Accounting to confirm funds received; updates Salesforce for Auction and Elite deals.
  • Prepares weekly reporting, including upcoming and past closings, deal-specific escalations, and data verification.
  • Performs transaction audits, ensuring all required documents (PSA, recorded deed, wire receipts, etc.) are complete and accurate.
  • Manages vendor relationships with title and escrow companies, escalates concerns when necessary, identifies training opportunities, and supports sales teams and clients with PSA preparation and execution.
  • Performs other duties as assigned.

Knowledge, Skills and Abilities:

  • Strong working knowledge of commercial real estate and loan sale transactions, title and closing; and all associated due diligence, disclosures, and loan documents.
  • Understands and exhibits the ability to effectively manage work processes. 
  • Able to effectively manage and keep track of numerous transactions.
  • Excellent verbal and written communication skills; Ability to manage complex, multi‑party communications
  • Curious and adaptable to different situations.
  • Able to maintain professionalism during duress.
  • Strong risk‑identification and issue‑mitigation skills
  • Proven, creative problem-solving approach and strong analytical skills.

 

Education/Experience:

  • Bachelor’s degree preferred or equivalent experience.
  • 4-6 years of experience where strong customer service skills were used.
  • Commercial Real Estate background or work experience (preferred, not required).
  • Experience working with title, escrow, or related closing vendors.
  • Experience using Salesforce or other CRM/transaction‑tracking tools

The anticipated base salary range for candidates who will work in our Irvine, California location is $80,000- $120,000. The final salary offered to a successful candidate will depend on several factors, which may include, but are not limited to, the type and length of experience applicable to the role and within the industry, education, geographic location, etc. Commercial Real Estate Exchange, Inc (“Crexi”) is a multi-state employer, and this salary range may not reflect positions that work in other states.
