We are looking for a Senior Administrative Assistant for the CEO Office to join our team in one of today’s most exciting technologies.  This role will report to Sr. Manager, Executive Assistant to the CEO and based in San Jose, CA.  This is a fully on-site, in office role.

Responsibilities:

  • You will report to and partner with the Sr Manager, CEO Office to assistant and provide various support activities.
  • Handle multiple tasks simultaneously including running business errands, scheduling meetings, invoicing/billing, meeting preparations, special projects and event management.
  • Ensures that various administrative tasks are completed in an effective and efficient manner, including processing expense reports, purchase orders, keeping records, and organizing the administrative files.
  • Coordinates logistics for lunch, dinner, and tea for customer events.
  • Skills and Experience:
  • Must have worked in a corporate work environment supporting VP level leadership positions.
  • Has a collaborative work style, is very well organized; and effectively multi-tasks and prioritizes in a rapidly changing business environment.
  • Experience managing complex travel itineraries.
  • Must have strong knowledge of MS Office Suite (Outlook Calendar, Excel, PPT)
  • Ability to accurately capture notes and action items and follow-up.
  • Must be detailed oriented.
  • Ability to prioritize work and balance several work streams at a time.
  • Ability to stay focused, flexible, efficient, and effective in managing multiple priorities.
  • Strong interpersonal skills and positive attitude.
  • Must have outstanding communication skills, act with professional discretion and good judgement.
  • Any information regarding the CEO office must be kept proprietary and confidential.
  • Must drive and have a reliable and accessible working vehicle to run errands.
  • Must have a cell phone and be on call 7 days a week.  The company will pay in accordance with local and federal wage and hour laws.
  • Education/Experience:
  • Minimum of 5 to 7 years of Administrative Assistant experience.
  • Minimum High School graduate
  • Physical Requirements:
  • Must be able to bend, lift up to 20 lbs. and walk for consecutive periods of time.
