Role Overview
The Client Relations Specialist is a key member of Athletes First's Client Relations team, delivering the high-touch experience our professional athlete clients have come to expect. Reporting to the SVP, Client Relations, the Specialist owns day-to-day execution across travel logistics, event coordination, reservations, and general client requests. This role partners closely with agents and senior team members to ensure every detail is handled with precision and discretion. This is a role for someone with 2-3 years of client services or hospitality experience who is ready to step into greater ownership in a fast-moving, high-profile environment.  

Key Responsibilities & Duties
Travel & Logistics 

  • Assist with booking travel accommodations including rental cars, hotels, and vacation rentals 
  • Support coordination of group travel for clients, their families, and traveling parties; manage changes and last-minute requests in real time 
  • Research and compile travel options for team review and client presentation, factoring in preferences, schedules, and budget 
  • Maintain accurate client profiles, intake forms, and preferences in CRM and internal tools 

Gameday Coordination 

  • Assist with gameday logistics, including hotel blocks, transportation, parking, and dinner reservations near stadiums 
  • Coordinate ticket and VIP access for client guests at home and away games 
  • Support large-scale event logistics including Super Bowl, NFL games, Combine, Draft, Pro Bowl and other tentpole moments 

Reservations & Appointments 

  • Coordinate reservations and access at restaurants, golf courses, entertainment venues, and exclusive experiences on behalf of clients 
  • Manage calendar coordination, confirmations, and logistics for client requests as directed 
  • Anticipate client needs and proactively curate options that exceed expectations 

Relocation Services 

  • Assist with relocation research including school districts, neighborhoods, housing, storage facilities, and local resources 
  • Help compile and maintain a library of polished city guides and trusted vendor recommendations for newly relocated clients 

Entertainment & Brand

  • Coordinate event tickets, premium experiences, and VIP access across sports, entertainment, and lifestyle 
  • Research brand contacts and support with outreach efforts for client requests 

Events & Charity 

  • Provide on-site and administrative support for client and A1-hosted events 
  • Assist with sourcing items for charity auctions and foundation events 
  • Research and compare vendor options and sponsor outreach for client charity events  

Qualifications 

  • Bachelor's degree preferred; equivalent experience will be considered 
  • 2-3 years of experience in client services, hospitality, sports, or entertainment; agency-side or high-touch service experience is a strong plus 
  • Exceptional organizational skills and attention to detail 
  • Excellent interpersonal and written/verbal communication skills 
  • Willingness and ability to work non-traditional hours including nights, weekends, and holidays 
  • High level of discretion and professionalism 
  • Genuine passion for sports, entertainment, and delivering exceptional client experiences
