Special Events Supervisor

The Special Events Supervisor is responsible for the daily leadership, supervision, and development of the Special Events Support Driver team while overseeing the successful execution of field operations supporting Auto Club Enterprises. This role provides hands-on leadership for a diverse portfolio of events, including major motorsports activations, fairs, sporting events, travel and boat shows, corporate events, parades, and community outreach programs.

The supervisor is accountable for staff performance, workforce planning, operational readiness, fleet and equipment management, and ensuring safe, efficient, and professional event execution.

Key Responsibilities

Leadership & Staff Supervision

  • Provide direct day-to-day supervision, coaching, and leadership for the Special Events Support Driver team.

  • Plan staffing levels, assign daily work, and ensure appropriate coverage for all field operations and events.

  • Monitor employee performance, provide ongoing coaching and development, and maintain performance documentation.

  • Partner with management in the recruitment, interviewing, hiring, onboarding, and training of new employees.

  • Conduct coaching conversations, corrective action discussions, and provide recommendations for annual performance evaluations.

  • Approve employee timecards, monitor attendance, and ensure compliance with labor laws, Club policies, and departmental procedures.

  • Lead regular team meetings, safety briefings, and operational training to promote employee engagement, communication, and continuous improvement.

  • Foster a culture of accountability, teamwork, safety, and exceptional customer service.

Event Operations

  • Lead the planning, coordination, and execution of field operations for:

    • Motorsports activations

    • Sporting events

    • Fairs and festivals

    • Travel and branch support shows

    • Corporate and internal events

    • Community events and parades

  • Supervise on-site event staff and ensure events are executed safely, efficiently, and professionally.

  • Oversee event logistics, including booth layout, equipment transportation, setup, teardown, and operational readiness.

  • Coordinate complimentary Emergency Road Service support for event attendees when applicable.

  • Resolve operational issues, customer concerns, and employee matters independently while in the field to ensure successful event execution.

Fleet & Equipment Management

  • Oversee the safe operation, maintenance, inspection, repair, and inventory of the department's vehicle fleet, antique vehicles, trailers, and specialized event equipment.

  • Ensure all vehicles and equipment are maintained in a safe, operational, and presentation-ready condition.

  • Manage equipment owned by other departments that is assigned to Special Events for operational use.

Operational & Administrative Responsibilities

  • Assist with budget forecasting, expense reconciliation, and operational reporting as assigned by the Event Operations Manager.

  • Participate in event planning meetings and cross-functional operational initiatives.

  • Serve as a member of the Emergency Response Team.

  • Participate in leadership development opportunities and continuing education to enhance supervisory and operational effectiveness.

  • Perform other duties as assigned.

Decision Making

This position exercises independent judgment while supervising field operations and personnel. The Special Events Supervisor is expected to resolve employee, operational, customer, and member issues in real time, making sound decisions that ensure safety, operational efficiency, and exceptional service without requiring routine management oversight.

Qualifications

  • Associate's degree or equivalent combination of education and related experience preferred.

  • 4–6 years of event operations or event management experience required.

  • Previous experience supervising or leading teams in a field operations or event environment strongly preferred.

  • Demonstrated ability to lead, motivate, coach, and develop employees.

  • Excellent organizational, planning, and time management skills with the ability to prioritize multiple projects and deadlines.

  • Strong problem-solving and decision-making abilities in fast-paced, high-pressure environments.

  • Excellent interpersonal, verbal, and written communication skills.

  • Proficiency with Microsoft Office Suite.

  • Ability to maintain professionalism while managing employees, vendors, customers, and business partners in dynamic event settings.

Travel Requirements

  • Up to 15% travel for off-site meetings, conferences, training, and event support.

  • Must be available to work evenings, weekends, and holidays as required to support scheduled events.

The starting pay range for this position is:

$69,300.00 - $92,600.00

Additionally, for full time positions, you will be eligible to participate in our incentive program based upon the achievement of organization, team and personal performance.
