Job Summary
The Project Coordinator will serve in a lead capacity across project planning, execution, and closeout, helping ensure successful delivery within defined scope, schedule, and budget. This role collaborates across departments, maintains accurate project documentation, and supports project managers. The ideal candidate brings strong organization, initiative, attention to detail, and serves as the key resource for other coordinators.
Responsibilities:
Project Planning and Scheduling:
- Lead in developing project plans, schedules, and timelines. Track project milestones and deadlines, ensuring timely completion of tasks. Assist with coordinating travel arrangements and coordination.
Coordination and Communication:
- Serve as a liaison between project stakeholders, including team members, clients, and vendors. Facilitate effective communication and collaboration across project teams. Provide guidance and support to other coordinators to maintain alignment and strengthen overall team effectiveness.
Documentation Management:
- Prepare, organize, and maintain project documentation, including contracts, project plans, status reports, meeting minutes, and correspondence. Ensure all documentation is up-to-date and accessible across all platforms.
Budget and Resource Tracking:
- Execute project budgets and resource allocation. Oversees tracking expenses and ensuring projects remain within financial constraints.
Risk Management:
- Identify potential project risks and issues. Develops and implements mitigation strategies and action plans.
Meeting Coordination:
- Schedule and coordinate project meetings, including team meetings, client meetings, and progress reviews. Prepare meeting agendas and follow-up on action items. Responsible for driving completion of action items, maintaining momentum and uphold deadlines across the team.
Reporting:
- Prepare and distribute regular project status reports to stakeholders. Highlight progress, risks, and any deviations from the project plan.
Support Project Managers:
- Serve as a trusted operational partner to project managers by anticipating needs, maintaining project controls, and ensuring coordination consistency
Other Duties:
- Perform other related duties as assigned.
Qualifications and Experience:
- Bachelor’s degree in Business Administration, Project Management, or a related field is preferred. Relevant certifications (e.g., Project Management Professional, Certified Associate in Project Management) are a plus.
- Minimum of 7-10 years of experience in project coordination, administration, or a related role. Experience in Prior experience in the AEC (Architecture, Engineering & Construction) industry is required
- Strong organizational and multitasking abilities with keen attention to detail.
- Proficiency in project management software (e.g., MS Project, Vantagepoint, Smartsheet) and MS Office Suite (Excel, Word, PowerPoint). Familiarity Smartsheets is a plus.
- Advanced Microsoft Excel skills required.
Travel: Up to 5-10%
Compensation & Benefits:
The expected base salary range for this role is $80,000 - $90,000 USD per year. Actual compensation will be determined based on a number of factors including skills, experience, qualifications, and location.
