The Opportunity:
We are seeking a highly organized and proactive Senior Operations & Project Coordinator to support the operational and project-based needs of the Executive Administration team. This role is ideal for a professional with a strong background in operations and project coordination who is ready to take ownership of initiatives, streamline processes, and drive execution across the department. The ideal candidate will bring a blend of administrative precision, project management acumen, and cross-functional collaboration skills.
Day in the Life:
- Operational Support & Coordination:
Serve as a key partner to the Manager of Executive Administration by coordinating day-to-day operations, ensuring smooth execution of departmental activities, and supporting cross-functional collaboration. - Project Coordination & Execution:
Lead the coordination of departmental projects from planning through execution. Track timelines, deliverables, and dependencies; manage project documentation; and ensure alignment with strategic goals. - Standard Operating Procedures (SOPs):
Develop, document, and maintain comprehensive SOPs for departmental processes. Ensure procedures are clear, up-to-date, and accessible to all relevant stakeholders. Collaborate with team members to identify gaps and implement improvements.
- Performance & Process Support:
Assist in tracking departmental goals, performance metrics, and development plans. - Reporting & Analysis:
Develop and maintain dashboards and reports to monitor team performance, satisfaction, and service levels. Provide insights and recommendations based on data. - Budget & Resource Coordination:
Support budget tracking and reconciliation, and assist in identifying discrepancies or opportunities for cost optimization. - Event & Engagement Support:
Coordinate logistics for departmental events, meetings, and engagement initiatives. - Perform all other duties as assigned.
Education and Experience:
- Associate’s or Bachelor’s degree in Business Administration, Operations, Project Management, or a related field preferred.
- Minimum of of 5 years of experience in operations, project coordination, or administrative support, with demonstrated experience managing multiple projects or initiatives simultaneously.
Knowledge, Skills and Abilities:

- Organization & Time Management: Exceptional organizational skills, with the ability to manage competing priorities, meet tight deadlines, and maintain accurate documentation.
- Analytical Thinking: Analytical mindset with the ability to interpret data, generate insights, and develop effective solutions.
- Problem Solving & Decision Making: Demonstrates initiative, critical thinking, and the ability to make sound decisions under pressure.
- Technical Proficiency: Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and skilled in preparing reports, presentations, and other project-related documents.
- SOP Development: Experience in developing, implementing, and maintaining Standard Operating Procedures (SOPs) to support operational consistency and compliance.
- Teamwork & Independence: Able to work both independently and as part of a collaborative team in a fast-paced environment.
- Attention to Detail: High level of accuracy and attention to detail in all aspects of work.
- Travel: Willingness to travel minimally as required.
