Job Description:
The Senior Manager, Payroll Tax will oversee all aspects of payroll tax operations, ensuring accurate, timely, and compliant processing in accordance with federal, state, and local tax regulations in a multi-state and multi-country environment. This role requires expertise in payroll tax compliance, strong leadership skills, and the ability to drive process improvements and manage change in a dynamic environment. The Senior Manager will also collaborate with various departments, manage external vendor relationships, and serve as a subject matter expert on tax filings, reporting, and reconciliation of payroll taxes with third-party tax vendor and applicable agencies. Reports to Vice President, Tax.
Key Responsibilities:
- Review and monitor tax filings along with associated notices. Manage all statutory tax correspondence.
- Audit employees work and residential addresses to ensure appropriate tax withholdings.
- Reconcile payroll tax accounts after each pay period.
- Manage internal and external audits related to payroll tax and payroll tax general ledger accounts.
- Develop and implement payroll tax best practices. Optimize workflows and enhance efficiency and compliance.
- Stay current on payroll tax and tipped income reporting regulations. Monitor tax law changes and communicate updates to relevant stakeholders.
- Manage tax set-up for new restaurant locations and legal entities, including overseeing registrations with all applicable state and local tax authorities.
- Collaborate with Payroll Specialists and HRIS on creation and maintenance of tax related reporting within Workday.
- Manage third-party tax vendor relationships. Ensure timely filings, amendments, and resolutions of payroll tax exceptions and issues.
- Provide guidance on payroll tax adjustments. Offer expertise on W-2 corrections, supplemental payroll runs, and reversals.
- Apply analytical and problem-solving skills to research and address payroll tax inquiries from employees, agencies, and other stakeholders.
- Reconcile payroll taxes, cash activity, and third-party tax vendor reports.
- Review tax filings, including but not limited to 941s and W-2s
- Manage tip reporting compliance, FICA tip credit documentation, and IRS tip agreements (e.g., TRAC or GITCA) where applicable.
- Manage unemployment insurance compliance with third party consultants, ensuring the monitoring of experience rating to reduce tax exposure.
Qualifications:
- 7+ years of experience with payroll tax and compliance matters
- Experience in managing payroll tax operations for large multi-state, multi-location restaurant, hospitality, or retail organizations is strongly preferred.
- Deep understanding of IRS and DOL regulations related to tipped wages and tax credits, such as FICA and WOTC.
- Bachelor’s Degree in Accounting or Tax preferred
- Strong reconciliation skills, detail oriented, proficient in excel
- Workday experience preferred
- ADP SmartCompliance experience preferred
- Must be able to create and reconcile spreadsheets for payroll and tax related data
- Experience preparing periodic tax forms and tax filings
- Must be able to communicate effectively and in a constructive manner with management, co-workers, and external vendors and government agencies; demonstrated ability to effectively present information to internal and external partners
- Strong understanding of federal, state, and local payroll tax regulations, experience with audits, and the ability to resolve complex tax issues
- Experience with multistate and international taxation
