Veta Virtual is hiring an Senior Executive Assistant for one of our high growth clients in the fintech and cryptocurrency industry. This is not a basic scheduling role. This is a high trust, detail oriented position for someone who can operate as a steady right hand to senior leadership, bringing order, follow through, and calm to two executives with a lot in motion.

πŸ”‘ Your Role:

As a Senior Executive Assistant you will work directly alongside the founder and COO of a fast growing company in the fintech and cryptocurrency space. You will help both executives stay organized, prepared, and focused on their highest priorities, not just by managing calendars and inboxes, but by handling the many moving pieces, travel, correspondence, meeting logistics, and confidential details, that keep their days running smoothly. Your day to day will involve:

  • Providing daily administrative support to the founder and chief operating officer, anticipating what they need before they have to ask.
  • Managing and coordinating complex calendars, scheduling internal and external meetings, appointments, and events, while proactively spotting and resolving conflicts.
  • Coordinating meeting logistics end to end, including conference rooms, virtual meeting links, materials, and attendee communication, so every meeting starts on time and prepared
  • Helping ensure leadership is fully prepared for upcoming meetings, appointments, and commitments, including monitoring schedules and sending timely reminders.
  • Drafting, formatting, proofreading, and organizing correspondence, presentations, reports, and other materials with a sharp eye for detail.
  • Keeping electronic files, records, and executive documentation organized, current, and easy to find.
  • Coordinating domestic and international travel, including flights, hotels, ground transportation, and detailed itineraries, and adjusting quickly when plans change.
  • Managing expense reports, receipt organization, reimbursements, and corporate card reconciliation.
  • Preparing agendas and meeting materials, taking notes, and tracking action items and follow ups until they are closed out.
  • Coordinating meetings and communication across multiple departments, external partners, vendors, and other stakeholders.
  • Assisting with coordinating visitors, meetings, meals, events, and other business activities.
  • Supporting special projects and administrative initiatives as assigned by leadership.
  • Serving as a professional, reliable point of contact for internal and external stakeholders.
  • Partnering with other departments, including HR, finance, legal, IT, and operations, to coordinate leadership related requests.
  • Handling confidential business and personnel information with absolute discretion at all times.

  • 2 to 5 years of experience in an administrative, executive support, or office coordination role, ideally supporting senior leaders or executives.
  • Exceptional organizational and time management skills, with the ability to manage multiple priorities at once without dropping details.
  • Excellent written and verbal communication skills, with a professional and polished tone.
  • Strong attention to detail and genuine pride in getting the small things right.
  • Demonstrated ability to exercise discretion and maintain confidentiality with sensitive business and personnel information.
  • Ability to anticipate needs, spot issues early, and follow through independently.
  • Comfort working in a fast paced environment where priorities can shift quickly.
  • Proficiency with Microsoft Office, including Outlook, Word, Excel, PowerPoint, and Teams.
  • Experience coordinating complex calendars and business travel preferred.
  • Comfort and proficiency using AI tools to support drafting, organizing, and day to day productivity is a strong plus.
  • To be considered for this role, you must currently be based in Latin America (LATAM) or Europe.
