The Opportunity - Senior Executive Assistant (Remote - USA / Canada)

As our Senior Executive Assistant, you won't just keep three executives organized. You'll be the operational engine that helps them move faster, decide sooner, and spend their time on what only they can do. You'll support our Chief Product Officer, Senior VP of Engineering, and General Counsel, acting as a force multiplier who turns their intent into action and their chaos into momentum.

This role is for someone who is relentlessly on top of things. You track the loose threads no one else is watching, you close them before they become problems, and you're the person the team trusts to make sure nothing slips. You don't wait to be told what needs doing. You see it, you own it, and you drive it to done.

You have a low tolerance for inefficiency. When a process is clunky, a meeting is pointless, or a workflow wastes the executives' time, it bothers you. You bring visibility for a decision and disrupt momentum to help the organization improve. You're not shy about advocating for the tools, the access, or the support you need to do your best work, because you understand that when you're set up well, the whole team wins. You ask for help and share your viewpoint to collaboratively arrive at solutions.

You're trusted with sensitive information and treat it with care. You have your finger on the pulse of the team across Slack, you build genuine relationships at every level, and you're energized rather than overwhelmed by a fast-moving environment where the answers aren't all figured out yet.

What you'll do:

  • Drive the executives' priorities forward: anticipate what's coming, prep them for what matters, and make sure decisions and follow-ups don't stall

  • Own their calendars and travel as a strategic resource, not a scheduling inbox, protecting focus time, resolving conflicts before they surface, and making every hour count

  • Run logistics for team meetings end to end: ensure that agenda is shaped with the executives, and clearly document and share decisions and timelines

  • Coordinate cross-team projects, chasing down contributors and keeping deliverables on track without being asked twice

  • Hunt down inefficiency: spot the broken or manual process, redesign it, and roll out something better for the executives and the wider team

  • Plan events that land, in-person and virtual, for teams large and small, owning the details from concept to wrap

  • Take on ambiguous, high-stakes work and turn it into something finished and polished

What you’ll have:

  • 5+ years supporting C-Suite Executives

  • A track record of owning outcomes, not just tasks.

  • Excellent verbal and written communication skills

  • Sense of ownership and comfort with ambiguity—we are building something new which is an opportunity to contribute but also means we don't have all the answers yet!

  • Excellent organizational skills including time management, goal setting, and attention to detail

  • Demonstrated ability to build trusting relationships across all levels of an organization

  • Experience with AI tools to streamline processes and automate routine task

  • Experience organizing in-person events for 30+ people

Strong preference for candidates with:

  • Experience supporting Engineering, Product and/or Design teams

  • Experience working at a startup and/or tech

  • Experience supporting 100+ person Function of the business

  • Pacific Time working hours
