The U.S. mortgage market is a $14 trillion pillar of the economy — and much of it still runs on fax machines, overnight shipping, and manual workflows. Snapdocs is changing that. Our platform currently powers 20% of all real estate closings in the country, and we’re just getting started.
We design workflow software and AI-driven automation that connects lenders, settlement teams, notaries, and investors — eliminating friction, reducing risk, and delivering a faster, simpler closing for every borrower. Our customers range from the largest mortgage lenders to independent title companies. They trust us because we solve real operational pain with empathy, rigor, and reliability.
We’re backed by Sequoia, Y Combinator, and F-Prime, and we’re building for the long term.
Supporting leaders across our GTM function, you’ll operate at the intersection of revenue, customers, regulators, partners, and internal teams. Their calendars are dense, priorities shift quickly, and time is one of the most constrained resources in the company.
Your role is to protect, optimize, and strategically deploy that time, while acting as a force multiplier across logistics, workflows, and decision-making. You’ll operate with high autonomy, anticipate needs before they’re stated, and design systems that reduce friction for both executives and the broader Senior Leadership Team (‘SLT’). This is a demanding role, but you’ll be closely partnered with experienced leaders and the Executive Support Manager, with strong context, trust and space to operate independently, with the expectation to lead within your lane. If you wait for instructions, this role will feel overwhelming. If you anticipate problems, make judgment calls, and operate as a true partner, you’ll thrive.
What You’ll Do
Strategic Calendar & Time Management
- Own and actively manage complex, high-volume executive calendars with overlapping priorities
- Make daily judgment-based tradeoffs: what moves, what doesn’t, and what should never have been scheduled
- Anticipate crunch points (travel, board meetings, conferences, deal cycles, regulatory moments) and proactively rebalance time
- Prepare executives for meetings with clear context, materials, stakeholders, and desired outcomes
- Act as a gatekeeper — confidently say “no” on behalf of leaders when needed, and know when to escalate vs. decide independently
Complex Travel & Logistics
- Coordinate frequent domestic travel end-to-end, including contingencies and real-time adjustments
- Build realistic schedules that strategically sequence meetings and events, account for preparation, fatigue, and recovery, and ensure the right stakeholders are engaged at the right time — not just availability
- Shield leaders from disruption when plans change by owning the details
Event Planning
- Own end-to-end planning and execution for team offsites and partner in select company-wide events, including budgets, timelines, vendors and onsite logistics
- Partner cross-functionally with leaders, their teams, and internal stakeholders to ensure events and agenda are well-sequenced, aligned to priorities, and run smoothly
- Capture learnings to continuously improve how offsites and events are executed
Operational Ownership
- Fully own expenses, reimbursements, invoices, and administrative workflows without reminders
- Handle document prep, slide updates, meeting notes, and follow-ups with clarity and efficiency
- Track action items from key meetings and proactively drive follow-through so work doesn’t stall
Executive Partner & Systems Builder
- Act as a trusted thought partner on prioritization, workflow, and operating rhythm
- Partner closely with the Executive Support Manager to help design and evolve systems that improve SLT effectiveness
- Identify patterns, risks, and inefficiencies across calendars, meetings, and workflows
- Exercise sound judgment and discretion when handling sensitive business, revenue, and regulatory information
Must-Haves
- 6+ years supporting senior leaders (VP+), ideally in fast-paced SaaS, fintech, or regulated environments
- Proven ability to support multiple executives simultaneously in high-stakes, ambiguous settings
- Exceptional calendar strategy skills: prioritization, time optimization, and judgment (not just scheduling)
- Clear, confident and proactive written and verbal communicator who can influence without authority and represent leaders well
- Strong judgment, business acumen and comfort making decisions with incomplete information
- Ability to operate at both strategic and tactical levels
- Strong systems and process mindset, experience in building repeatable workflows, cadences, and meeting hygiene
- Experience owning team offsites and executive events from end-to-end
Nice-to-Haves
- Experience supporting revenue, go-to-market, or regulatory leaders
- Familiarity with Google Workspace, Slack, Ramp, and Zoom
- Experience supporting executives who travel frequently and operate across different time zones
- Executives feel less reactive and more focused
- Calendars reflect true priorities and business cadence
- Travel, logistics, and admin “just work” with minimal executive involvement
- Leaders trust you to represent them, make calls, and keep work moving forward
- The SLT operates with greater clarity, efficiency, and rhythm as a result of your systems
