We are excited to seek a passionate and experienced Senior Candidate Experience Coordinator to join our team and drive operational excellence as a regional CX POD owner. This role is ideally suited for an individual with extensive expertise in scheduling, stakeholder engagement, team oversight, and reporting, who is eager to shape processes and support a world-class candidate experience.
You will assume a dual role: managing high-volume interview coordination while overseeing the performance and delivery of your regional coordination team. This position is critical to the success of our global hiring operations and will provide you with the opportunity to enhance your leadership skills, influence strategy, champion change, and collaborate with cross-functional and cross-regional teams.
Overview
We're looking for a Senior Recruitment Coordinator with extensive executive scheduling experience to lead high-touch scheduling for senior-level candidates at Atlassian.
You'll be part of the Candidate Experience (CX) Team, dedicated to delivering a world-class, smooth experience for every candidate. In this role, you'll drive and execute scheduling responsibilities for executive-level hiring for AMER and, if required, APAC executive hiring and partner closely with recruiters, executive assistants, and cross-functional stakeholders to ensure smooth, efficient, and timely coordination.
This role requires exceptional organisational skills, discretion, and the ability to thrive in a fast-paced, evolving environment while managing multiple priorities.

Responsibilities: What We're Looking For
Executive Scheduling & Candidate Support
  • Serve as the primary point of contact for all executive scheduling needs.
  • Manage complex calendars, schedule interviews, coordinate travel, and ensure all logistics run smoothly.
  • Support the executive recruiter to drive and organise internal meetings and agenda if required.
  • Partner with recruiters, executive assistants, and hiring managers to design and execute efficient scheduling workflows.
  • Ensure confidentiality and integrity when handling sensitive candidate and business information.
  • Provide an exceptional experience for executive candidates, ensuring clear, timely communication and a high-touch process.

Operational Excellence & Process Management
  • Track and report on scheduling metrics, trends, blockers, progress, and process health using our internal tools, such as iCIMS, GoodTime, and other reporting tools.
  • Drive process improvements, implement new tools or workflows, and support system or policy changes that impact executive scheduling.
  • Maintain and manage scheduling templates, documentation, and communication materials.
  • Partner with other senior coordinators and team leads to stay aligned on global best practices and standards.
  • Step in to support other recruiting schedules during periods of lower executive hiring volume.

Stakeholder & Team Collaboration
  • Act as a liaison between executives, recruiters, candidates, and internal/external stakeholders.
  • Manage internal communications related to executive scheduling during transitions or change-management initiatives.
  • Collaborate with cross-functional teams on events, off-sites, or special projects tied to executive recruitment, when requested.
  • Guide, partner with, and support other coordinators involved in executive scheduling, elevating team performance and knowledge.
  • Support vendor coordination and logistics for executive hiring as needed.

More About You
  • 7-10 years in recruitment coordination, including at least 4-6 years dedicated to senior/executive-level scheduling.
  • A proactive problem-solver with a "make-it-happen" attitude who anticipates challenges and addresses them before they escalate.
  • Highly organised, detail-oriented, and calm under pressure.
  • Adept at managing multiple priorities and deadlines with a strong sense of urgency.
  • Superior communication and stakeholder-management skills, building trust across candidates, recruiters, and leaders.
  • Strong follow-up skills with a proven ability to keep hiring efficiency on track.
  • Hands-on experience with ATS and scheduling tools (e.g., iCIMS, Workday, GoodTime); comfortable and has using data and reporting to make informed decisions.
  • Knowledge of HR processes, compliance, and candidate experience best practices.
  • Demonstrated ability to guide, mentor, and support peers and junior coordinators; enthusiastic about sharing knowledge and improving team efficiency.
  • Dependable, approachable and collaborative; resourceful in finding solutions and not afraid to ask questions.

Compensation
At Atlassian, we strive to design equitable, explainable, and competitive compensation programs. To support this goal, the baseline of our range is higher than that of the typical market range, but in turn we expect to hire most candidates near this baseline. Base pay within the range is ultimately determined by a candidate's skills, expertise, or experience. In the United States, we have three geographic pay zones. For this role, our current base pay ranges for new hires in each zone are:
Zone A: $100,800 - $131,600
Zone B: $90,900 - $118,675
Zone C: $83,700 - $109,275
This role may also be eligible for benefits, bonuses, commissions, and equity.
