ABOUT HEAVISIDE INDUSTRIES

Heaviside Industries builds multi-domain autonomous precision munitions for U.S. and allied special operations and conventional forces. While modern warfare has rapidly evolved with the proliferation of unmanned systems, hyper-precise munitions in contested environments are the future of the battlefield. Economical precision strike capabilities are critical to U.S. and allied war efforts, enabling successful defeat of enemy military assets and infrastructure. Heaviside builds precision munitions designed to operate in GPS-denied and spectrum-jammed battlefields—where traditional systems degrade or fail—without inflated prices or sacrifice to performance.

All engineering and manufacturing is conducted in-house in Heaviside's Los Angeles, CA headquarters and Oslo, Norway office.

Heaviside is backed by Interlagos, Menlo Ventures, Flume Ventures, Cantos, Anorak Ventures, and Ravelin Ventures.

WHAT YOU WILL DO

As Sales & Logistics Specialist, you will own the order lifecycle from first quote request to final shipment, serving as the primary point of contact for customers on quoting and logistics and the connective tissue between Business Development, Production, and our logistics partners.

Shipping, Logistics & Export Compliance

  • Arrange shipping for outgoing orders in step with production completion timelines.

  • Obtain and evaluate quotes from freight forwarders and carriers, selecting the most cost-effective option with appropriate cargo insurance coverage.

  • Prepare and coordinate all shipping documentation, working with Legal and Compliance to meet applicable export-control and ITAR requirements.

  • Communicate shipment status and tracking information to customers.

Quoting & Customer Correspondence

  • Receive quote requests from the Business Development team on behalf of prospective and existing customers.

  • Prepare, revise, and finalize price quotes in line with BD input and company pricing guidelines.

  • Correspond directly with customers throughout the quoting process, answering questions and incorporating requested revisions.

  • Maintain clear, professional, and timely communication with customers from initial quote through order fulfillment.

Order Processing

  • Enter Purchase Orders (POs) into the company's ERP / order management system upon receipt.

  • Verify every PO against quoted terms, pricing, and specifications before it is released.

  • Coordinate with internal stakeholders to confirm order details and production feasibility.

Production Coordination

  • Work with the Production team in our Los Angeles facility to confirm timelines, capacity, and order status.

  • Track order progress and proactively communicate updates to customers and the BD team.

  • Flag delays or issues early and drive them to resolution.

Cross-Functional Communication & Records

  • Serve as the liaison between BD, Production, and external logistics partners across the full order lifecycle.

  • Maintain organized records of quotes, POs, customer correspondence, and shipping documentation.

  • Support the BD team with additional coordination and administrative work as the business scales.

WHAT WE ARE LOOKING FOR

  • 2+ years of experience in sales support, order management, customer service, or logistics coordination.

  • Hands-on experience preparing quotes, entering orders, or supporting a sales team.

  • Excellent written and verbal communication, with a professional, customer-facing demeanor.

  • Strong organizational skills and the ability to manage multiple concurrent requests across sales, production, and logistics.

  • High attention to detail—accuracy in quotes, PO entry, and shipping documentation is critical.

  • Proficiency with Google Workspace or Microsoft Office and comfort working in ERP or order management systems.

  • A self-directed owner who can take a request from quote through shipment with minimal oversight.

  • U.S. Person as defined by ITAR (22 CFR §120.62).

NICE TO HAVE

  • Experience in logistics, freight forwarding, or shipping coordination.

  • Familiarity with freight and carrier pricing structures and cargo insurance.

  • Experience with export documentation, ITAR, or EAR-controlled shipments.

  • Experience in aerospace, defense, government contracting, or advanced manufacturing.

  • Experience supporting rapidly growing organizations.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
