GENERAL SUMMARY:

The Sales & Marketing Assistant provides essential administrative, hospitality, and operational support to the Sales & Marketing department. This position serves as a welcoming first point of contact for residents, families, prospective residents, guests, and visitors while assisting the sales and marketing team with daily administrative functions, events, reporting, marketing systems, office operations, and communications.

The Sales & Marketing Assistant plays an important role in creating a positive and professional experience for prospective residents and their families while supporting the overall sales and marketing efforts of the community. This position reports to the Director of Sales & Marketing.

PRINCIPAL DUTIES:

  • Answers and directs incoming calls, manages lead distribution, and promptly responds to inquiries as assigned.
  • Greets and provides exceptional hospitality to residents, prospective residents, families, guests, and visitors.
  • Assists with planning, coordinating, and executing marketing and community events within approved budgets.
  • Prepares, maintains, and updates sales and marketing reports, spreadsheets, and other department documentation.
  • Processes sales, cancellations, transfers, and related documentation accurately and in a timely manner.
  • Maintains marketing systems, including the community CRM (Sherpa), and generates reports and data as needed.
  • Processes invoices and assists with tracking departmental expenses and budget performance.
  • Manages office inventory and orders office supplies, marketing collateral, printed materials, and other items within the approved budget.
  • Maintains and updates the department calendar, including events, staff schedules, appointments, and other activities.
  • Assists with maintaining the community website and supports digital marketing initiatives, including social media, as assigned.
  • Assists with the preparation of the annual marketing plan by compiling information, creating data tables, organizing materials, and preparing documents.
  • Coordinates and assists with the creation and distribution of the community marketing newsletter.
  • Works closely with the Move-In Coordinator and Director of Sales & Marketing to ensure required paperwork and documentation are collected for prospective and future residents.
  • Provides front desk coverage and administrative support as needed.
  • Serves as a primary point of contact between the Sales & Marketing department and other departments within the community.
  • Provides administrative support to the Move-In Coordinator and Director of Sales & Marketing as requested.
  • Directs residents, families, and guests to the appropriate department or team member for questions, comments, or concerns.
  • Maintains a professional appearance and consistently represents the community in a positive manner.
  • Attends department and community meetings as requested.
  • Maintains a clean, organized, and presentable work area.
  • May travel to prospective customers' homes or other locations as needed to support sales efforts and maintain relationships with residents and families.
  • Performs other duties and responsibilities as assigned.

Requirements

REQUIREMENTS:

  • Minimum of 1 year of related work experience, preferably in a professional office, hospitality, senior living, or customer service environment.
  • High school diploma or equivalent required; college degree preferred.
  • Strong organizational and time-management skills with exceptional attention to detail.
  • Ability to multitask, prioritize responsibilities, follow up on assignments, and meet deadlines.
  • Excellent written and verbal communication skills, including professional telephone etiquette.
  • Strong customer service and interpersonal skills with the ability to interact professionally with residents, families, guests, and team members.
  • Proficient in Microsoft Office and other commonly used computer applications.
  • Strong keyboarding and proofreading skills.
  • Ability to work independently while also functioning effectively as part of a team.
  • Ability to maintain professionalism and composure in a fast-paced environment with frequent interruptions and changing priorities.

PHYSICAL REQUIREMENTS / WORKING CONDITIONS:

  • Ability to frequently walk, stand, sit, and communicate throughout the workday.
  • Ability to push and/or pull up to 40 pounds and lift and/or carry up to 35 pounds.
  • Ability to navigate and tour the entire community, including assisting with or pushing a resident in a wheelchair when needed.
  • Ability to work in a fast-paced, high-performance environment while managing multiple priorities.
  • Ability to concentrate and remain attentive with frequent interruptions.
  • Work is generally performed in a well-lit, comfortable indoor environment.
