About the role

The Sales Administrator will be responsible for providing essential support to the sales team by managing administrative tasks, coordinating with the factory, upfit vendors, dealers, and finance, maintaining sales records, and ensuring smooth sales operations. This role is key to ensuring that all sales processes are efficient and effective, contributing to the companies’ overall success.

What you'll do

KEY RESPONSIBILITIES:

1. Sales Support & Coordination:

  • Assist the sales team in day-to-day administrative tasks such as validating sales quotes, processing sales orders, and managing upfit vendor inquiries.
  • Assist in the preparation of customer contracts, including financing, leasing and upfit options, ensuring compliance with company and dealership policies and regulations.
  • Provide ongoing support to our salespeople, manufacturing team, and finance throughout the sales process, from Sales to Order to Order to Delivery.

2. Documentation & Record Keeping:

  • Maintain accurate and up-to-date records of all sales transactions, including customer contracts, inventory, and financial documentation.
  • Process sales paperwork, including title transfers, registration, and licensing, ensuring all documents are completed accurately and on time.

3. Inventory Management:

  • Assist with tracking truck inventory and build slot levels, ensuring the sales team has accurate information on available models and configurations.
  • Coordinate the arrival and preparation of new unsold inventory, including ensuring that trucks are prepped and ready for customer delivery.
  • Collaborate with the parts and service departments to ensure that inventory vehicles are properly serviced and ready for sale.

4. Sales Reporting & Analytics:

  • Prepare and generate regular sales reports, including tracking sales performance and inventory status.
  • Provide insights and feedback to the sales management team to help improve sales processes and performance.
  • Prepare and generate all sales incentives, promotions, and other sales-related reports.

5. General Administrative Support:

  • Manage the scheduling of demo vehicles for the sales team.

Qualifications

Experience:

  • Minimum of 2-3 years of experience in sales administration or a similar administrative role, preferably in a truck dealership or automotive industry.
  • Previous experience working with CRM systems, dealership management software, and general office tools is highly desirable.

Skills:

  • Strong organizational skills with sharp attention to detail.
  • Excellent communication skills, both written and verbal, with the ability to interact professionally with customers and staff.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint) and familiarity with dealership management software (e.g., CDK, Reynolds & Reynolds) is a plus.
  • Ability to manage multiple tasks simultaneously and meet deadlines in a fast-paced environment.

Education:

  • High school diploma or equivalent required. An associate or bachelor’s degree in business administration, Marketing, or a related field is a plus.
