The RFP Specialist will manage the RFx process, craft responses, ensure compliance, collaborate with teams, and utilize AI tools to improve content quality and win rates.
The summary above was generated by AI

We are seeking a RFP Specialist who will own end-to-end RFx responses that will help Level Access win private enterprise and public sector deals. You’ll translate technical requirements into persuasive, solution-oriented narratives across our digital accessibility software and consulting services. You partner tightly with Sales leaders/sellers, Solution Architects/Sales Engineers, Professional Services/Delivery, Finance/Deal Desk—plus Product Marketing and the Marketing Content team—to land clear win themes, proof, and compliance. You write with precision and simplicity, making complex topics easy to grasp.

What you’ll do

Run the RFx lifecycle: intake, bid/no-bid input, kickoff, schedule, compliance matrix, drafting, reviews, submission, and retros.
Convert requirements into concise responses that map Level Access features, functions, and services scopes/LOE to customer outcomes (risk reduction, compliance, brand reach, usability).
Craft win themes and differentiators, curate case studies, metrics, and references with Product Marketing and Marketing Content.
Ensure strict compliance (instructions, formats, Section L/M, addenda tracking; SLED/federal portal submissions) while optimizing readability.
Partner with PS/Delivery to scope services, align assumptions, and articulate methodologies and project plans.
Support security/compliance questionnaires (e.g., SOC 2/ISO summaries, data privacy, CAIQ/SIG) with SMEs and Level Access Security team.
Maintain and evolve a reusable content library (software, services, security, legal, accessibility posture, VPAT/ACR summaries).
Leverage internal/external AI tools responsibly (drafting, summarization, tone alignment, gap analysis) to accelerate high-quality responses.
Track outcomes and drive continuous improvement in content, process, and win rate.

Qualifications

5–8 years in proposal/RFx response, proposal writing, content or product marketing, or sales enablement for B2B software/services.
Proven contributions to wins across private enterprise and public sector deals.
English fluency with exceptional written communication; strong technical fluency in written form and a demonstrated gift for making the complex simple without losing accuracy.
Ability to interpret technical requirements and translate product/feature details and services offerings into clear solution narratives.
Cross-functional operator with Sales leaders/AEs, SEs/SAs, PS/Delivery, Product Marketing, Marketing Content, Finance, Deal Desk, Security, and Legal.
Hands-on with RFx platforms (RFPIO/Responsive, Loopio, Qvidian, RFP360) and productivity suites (M365/Google).
Working knowledge of AI tools (e.g., ChatGPT, Copilot, Writer) and data-safety guardrails.
Solid project management: schedules, dependencies, stakeholder management, and risk mitigation.

Nice to have

 APMP Foundation/Practitioner.
Familiarity with public procurement practices (FAR/DFARS awareness, SLED processes), marketplaces/vendor registration, and accessibility statements.
Experience building/owning proposal style guides and visuals.

Success metrics (examples)

 On-time submission rate ≥ 98%.
 Compliance score ≥ 95%.
Win rate uplift on supported pursuits.
Time-to-first-draft reduction and content reuse rate.
Stakeholder satisfaction (post-mortems) and schedule adherence.

Tools

RFx platform (RFPIO/Responsive, Loopio, or similar), CMS/content library, MS/Google productivity tools, diagramming (Miro/Lucid), GenAI tools, security questionnaire utilities.

Application Process

This is a full-time salaried position with a competitive benefits package, including bonus opportunities and unlimited vacation/FTO. Salary is commensurate with experience. Please submit your cover letter and resume for immediate consideration.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
