Purpose & Objective:
The Retail Coordinator will support the daily operations of our retail stores across the region, ensuring seamless coordination between the stores and headquarters. This role will be responsible for a wide range of administrative and operational duties that support store efficiency, compliance, and the overall customer client experience. 

Retail Operations & Administration:

  • Process supply and stationery orders for all retail locations. 
  • Track and report store damages and liaise with relevant departments for resolution. 
  • Coordinate shipments to and from the corporate office, including samples, supplies, and visual merchandising materials. 
  • Compile and maintain key retail operations reports (e.g., shipments not booked in, negatives on hand, inventory discrepancies). 
  • Maintain and distribute up-to-date store documentation including store alarm codes, safe codes, and emergency contact lists. 
  • Oversee and update store email distribution lists to ensure effective internal communication. 
  • Support with store security systems and guard bookings. This includes, but is not limited to: theft report review, CCTV exports, ad-hoc guard bookings. 

People & Onboarding Support:

  • Assist in preparing new starter documentation and onboarding packs for retail hires. 
  • Coordinate with HR to ensure smooth onboarding processes for store team members. 
  • Track and maintain retail staff records as required (e.g., start dates, documentation, access permissions). 

Facilities & Maintenance Support:

  • Act as support for facilities and maintenance issues reported by stores. 
  • Liaise with internal stakeholders to coordinate repairs and ensure issues are resolved promptly. 
  • Maintain log of open/closed maintenance requests and support follow-ups. 

Communication & Coordination:

  • Serve as a liaison between HQ departments and retail teams, ensuring timely communication of updates, policies, and procedures. 
  • Support the Retail Operations team with ad-hoc projects and initiatives to improve store operations and efficiency. 

Knowledge, Skills, and Ability Requirements:

  • 2+ years of experience in an administrative or retail operations support role, ideally within the luxury or fashion industry. 
  • Strong organizational skills with exceptional attention to detail. 
  • Excellent written and verbal communication skills. 
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with retail systems or inventory software is a plus. 
  • Ability to handle sensitive information with confidentiality and professionalism. 
  • A proactive, solutions-oriented mindset and ability to manage multiple priorities in a fast-paced environment.
