As a Recruiting Coordinator, you will manage interview logistics, champion candidate experience, and ensure process excellence while collaborating with the recruiting team.

Your mission is to champion our candidate experience and drive the operational efficiency that powers our entire hiring engine.
- Own Interview Logistics: Mastermind and execute complex interview scheduling across multiple time zones for our technical and GTM teams, ensuring a smooth and efficient process for everyone involved.
- Champion the Candidate Experience: Serve as the primary point of contact for candidates throughout the interview process, providing clear communication and a welcoming, positive experience from first contact to final decision.
- Partner Across Luma: Collaborate closely with recruiters, hiring managers, and interviewers to ensure alignment, manage scheduling changes, and facilitate a seamless feedback loop.
- Drive Process Excellence: Maintain impeccable data integrity within our Applicant Tracking System (ATS) and proactively identify opportunities to streamline and improve our coordination workflows.
- Manage Onsite and Virtual Experiences: Handle all logistics for candidate interviews, whether virtual or in our Palo Alto office, to ensure a flawless and professional experience.
- You have 3+ years of experience as a Recruiting Coordinator, with a proven track record in a fast-paced, high-growth startup environment (Series A-D).
- You have direct experience supporting a tech company and are comfortable in a technically-driven culture.
- You are a master of complex calendar management and have a sharp eye for detail.
- You possess exceptional communication and interpersonal skills, with a natural ability to build rapport with candidates and internal stakeholders at all levels.
- You are proficient with modern Applicant Tracking Systems (e.g., Ashby, Greenhouse, Lever).
- You remain composed and solutions-oriented under pressure, and you thrive in a dynamic environment where priorities can shift quickly.
- Hands-on experience with Gem is highly preferred.
- You are fluent in using AI and/or automation tools to enhance and automate your recruiting workflow.

This is an initial contract-to-hire position. In accordance with California pay transparency requirements, Luma AI provides a good faith estimate of the hourly pay range for this role upon hire: $45.00 – $60.00/hour. The final hourly rate will be determined based on the candidate's specific skills, experience, and interview outcomes. This role includes the potential for conversion into a full-time position based on performance and business needs.
