About this roleWe’re hiring a Recruiting Coordinator to own the end-to-end coordination of our recruiting operations, including managing our ATS (Ashby), sourcing and screening candidates based on role-specific criteria, scheduling interviews, keeping candidates and interview panels on track, documenting recruiting processes, and driving process improvements to streamline hiring. You’ll drive the process for hiring for a range of positions, including full-time and part-time team members, and project-based contractors.

Your responsibilities
Your job as the Recruiting Coordinator would include …
Recruitment Systems Management: Own and maintain our ATS (Ashby) and proactively evaluate and implement new tools that streamline and enhance the recruiting process.
Stakeholder Collaboration: Partner with hiring managers and interviewers to align on role requirements, drive timely feedback, and ensure a consistent and effective hiring process.
Candidate Pipeline Oversight: Manage and monitor candidate pipelines for full-time, part-time, and contract roles, ensuring timely progression through each hiring stage and proactive feedback loops with hiring teams.
Talent Sourcing and Job Postings: Collaborate with hiring managers to write and post job listings, actively source high-quality candidates through LinkedIn, databases, and AI tools like Clay, and screen applicants against role-specific criteria to build strong, qualified pipelines.
Candidate Experience: Coordinate interviews, maintain timely and professional communication with candidates, and manage the overall candidate experience from application to offer, ensuring a positive and consistent experience.
Recruiting Process Optimization: Document and maintain recruiting workflows, track and report on recruiting KPIs, identify process bottlenecks, and lead initiatives to streamline and automate hiring operations for speed and quality.

You have 1–3 years of experiences in a recruiting coordinator, HR assistant, or similar operational role. You’re experienced with using ATS platforms like Ashby, Greenhouse, or Lever, and sourcing candidates through LinkedIn, job boards, and databases.
You’re organized, detail-oriented, and a strong project manager. You catch mistakes before they become issues, whether you're proofreading a job description, setting up a new job description, scheduling interviews, or updating the ATS. Your systems and checklists keep everything moving smoothly even when managing multiple roles.
You’re a strong communicator. You can communicate clearly and professionally and know how to keep candidates and hiring teams informed throughout every stage of the process.
You take ownership and deliver. You track your own KPIs, hold hiring teams accountable, and move candidates forward without needing reminders or micromanagement.
You have a process mindset. You’re always spotting inefficiencies, documenting workflows, and suggesting ways to automate and streamline recruiting operations.
You’re proactive and adaptable. When hiring priorities shift or interviews fall through, you don’t panic—you pivot quickly, solve problems, and keep the process moving.
You’re empathetic. You understand that recruiting is a human experience and you treat candidates respectfully, even when delivering tough news or managing delays.
