This is a high-impact, foundational recruiting coordination role focused on building exceptional candidate experiences while supporting a lean recruiting team building a fast-growing startup. You’ll manage complex interview scheduling across multiple teams while helping to build scalable recruiting infrastructure as GC AI grows.
You’ll work closely with recruiters, hiring managers, and leadership to ensure interviews run smoothly and efficiently. In addition to coordinating a high volume of interviews, you’ll help support recruiting events and build structured interviewer training programs that elevate the quality and consistency of our hiring process.

What You'll DoDrive recruiting and scheduling logistics end-to-end, with a focus on building scheduling automations and workflows in Ashby so recruiters can self-serve routine work
Use AI tools to rethink how recruiting operations get done, identify manual or repetitive workflows, prototype AI-powered solutions, and turn them into scalable automations, tools, and processes
Run live interview operations remotely: triage urgent reschedules, fix breakage in real time, keep candidates moving, and handle the unglamorous-but-critical RC duties when the day demands it
Own the candidate experience at every stage by building trust through clear communication, timely follow-through, and genuine care, bringing a human touch that makes each interaction feel personal, thoughtful, and respectful of candidates’ time
Coordinate a high volume of complex interviews across multiple teams and roles
Experiment actively with new AI tools and capabilities, measuring what works and continuously improving how the recruiting team operates
Track interview scheduling metrics and identify opportunities to improve coordination efficiency
Build and administer interviewer training programs to improve interview quality and consistency
Assist with recruiting events, programs, and related touchpoints as needed
2-3+ years of recruiting coordination or recruiting operations experience
Expertise using and configuring Ashby
Experience coordinating a high volume of complex interviews across multiple roles and teams
Hands-on experience using AI tools in your day-to-day work, with examples of how you’ve used AI to automate workflows, improve processes, or increase your own efficiency
Experience working in a high-growth startup or fast-paced environment
Experience organizing or supporting recruiting events
Exceptional organizational and time management skills with strong attention to detail
Ability to manage multiple competing priorities and stakeholders simultaneously
Strong communication and relationship-building skills
A proactive, solutions-oriented mindset and a passion for creating great candidate experiences
Experience reviewing resumes and supporting candidate screening
Experience sourcing candidates using tools such as LinkedIn Recruiter or similar platforms
Experience helping build recruiting operations processes at an early-stage company
Experience building, supporting, or administering interviewer training programs

How We Work TogetherGC AI is a distributed company with team members across North America, and soon Europe. We believe that because our business is AI, human connection matters more, not less. We invest in bringing people together through our hub model: regular coworking sessions, customer dinners, team and company offsites. If you’re in a location without an office, expect up to 10% travel (and more for customer-facing roles).
Team members in the San Francisco Bay Area and Provo, UT (within 50 miles of the office) work together on Tuesdays, Wednesdays, and Thursdays. As we grow, we plan to establish permanent offices in more hub cities, and we will look to our team members to help build that in-person culture. We currently hire across the United States and Canada.
