Recruiting Coordinator (AMER/Santa Clara) 12 month Contract

The Recruiting Coordinator will play a critical role in facilitating complex, high-touch recruitment processes, serving as a pillar of support for our global talent acquisition efforts. Beyond managing day-to-day coordination, the ideal candidate will operate with a high degree of judgment and nuance, leading complex scheduling logistics, and partnering cross-functionally to optimize our operations. The ideal candidate will have excellent communication skills, be proficient in managing multiple tasks simultaneously, and demonstrate a strong ability to collaborate across diverse internal and external networks.

SHOULD YOU ACCEPT THIS CHALLENGE...

  • Own and manage complex interview scheduling process, acting as the central point of coordination for standard, high-volume, and executive-level loops, including multi-location and international panels.
  • Navigate global logistics independently, proactively anticipating and resolving pitfalls such as time-zone mismatches, visa/travel conflicts, or last-minute interviewer no-shows with minimal disruption.
  • Draft and extend offer letters and new hire paperwork, ensuring absolute accuracy, data privacy compliance within the ATS, and a seamless transition to onboarding.
  • Drive process optimization by partnering with Recruiting Ops, HR, and IT to identify process gaps and implement scalable improvements that enhance the candidate experience.
  • Author and refine team documentation, developing SOPs, scheduling templates, and checklists to increase overall team efficiency.
  • Invest in your fellow coordinators, actively leading onboarding, shadowing support, and sharing best practices during team syncs.
  • Coordinate and support marquee recruiting events, such as career fairs and campus recruiting, to help attract top talent.

WHAT YOU’LL NEED TO BRING TO THIS ROLE...

  • 3+ years of recruiting coordination, executive administration, or related fast-paced operations experience.
  • Deep understanding of international logistics and regional hiring norms, with proven experience coordinating across multiple regions and departments.
  • Exceptional organizational skills and meticulous attention to detail, with a demonstrated ability to manage high-volume, shifting priorities independently.
  • Advanced proficiency with Applicant Tracking Systems (ATS) and virtual interview tools (e.g., Google Calendar, GoodTime, Zoom), with the ability to troubleshoot system issues and support others in using them effectively.
  • Strong cross-functional collaboration skills, with the discretion and professionalism required to partner with executives, Recruiting Ops, and external stakeholders.
  • A proactive, problem-solving mindset and a passion for delivering a best-in-class, empathetic candidate experience.

We are primarily an in-office environment and therefore, you will be expected to work M-F during normal business hours from the Santa Clara office in compliance with Everpure’s policies, unless you are on PTO, or work travel, or other approved leave.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
