Responsibilities

This role sits at the center of CBIZ Technology’s AI growth strategy. The Proposal Strategy & Pursuit Specialist partners closely with sales leaders, solution experts, and marketing to bring our most important opportunities to life by crafting compelling, client-facing narratives that clearly articulate business value and differentiate CBIZ in a competitive AI landscape.

 

You will help translate complex AI solutions including Microsoft Copilot, data, and transformation services into clear, executive-level messaging that resonates with CEOs, CFOs, and business leaders.

 

This is not just a coordination role. It is a high-impact position that directly influences revenue growth, client experience, and how CBIZ shows up in the market.

 

Essential Functions and Primary Duties

  • Support the preparation, formatting, and assembly of proposals, RFP responses, presentations, and supporting sales materials.

  • Coordinate and manage the end-to-end RFP process, including intake, qualification, calendaring, compliance tracking, kickoff coordination, response collection, review cycles, and final submission support.

  • Help organize response plans, responsibilities, review cycles, and deadlines to keep proposal and RFP pursuits on track.

  • Maintain RFP schedules, requirements matrices, content trackers, and submission checklists to improve consistency, responsiveness, and quality control.

  • Coordinate content collection from internal stakeholders and help organize proposal inputs, deadlines, and version control.

  • Edit and proofread content to ensure clarity, consistency, accuracy, and adherence to brand standards.

  • Maintain proposal content libraries, templates, resumes, case studies, and standard response materials.

  • Assist with scheduling meetings, tracking deliverables, and monitoring proposal milestones.

  • Collaborate with sales, marketing, and solution teams to help produce polished, client-ready deliverables.

  • Support administrative and logistical tasks related to pursuits, client presentations, and business development initiatives.

  • Use applicable technology tools to manage documents, shared files, and production workflows efficiently.

 

Preferred Qualifications

  • Associate’s or bachelor’s degree in communications, marketing, business, or a related field.

  • Experience supporting proposals, RFP responses, or sales pursuits in a professional services or technology environment.

  • Strong proofreading, formatting, and document production skills.

  • Familiarity with Microsoft Word, PowerPoint, Excel, and collaboration platforms used for proposal development.

  • Ability to manage multiple deadlines in a fast-paced environment with strong attention to detail.

  • Interest in AI, emerging technology, or consulting services.

  • High School Diploma or GED equivalent
  • 1 year of relevant experience
  • Must be able to work in a team environment
  • Demonstrated ability to communicate verbally and in writing throughout all levels of organization, both internally and externally
  • Proficient use of applicable technology
  • Must be able to travel based on client and business needs
