As a member of the Services Operations Team, the Proposal Specialist provides service contract support to the company pre-sales and account management team. This position will facilitate the creation of professional services contracts such as statements of work, proposals, quotations, and Request for Proposals/Quote (RFP/RFQ). The Proposal Specialist will also work closely with cross-functional teams to support all aspects of the contract administration related to company professional services engagements (SOWs, contractor agreements, contractor work orders and change orders).
- Develop the professional services contracts such that key stakeholders (Sales, Solution Delivery Managers, Services delivery team members and the Client) have a clear understanding and agreement as to Services deliverables and financials of the contract.
- Coordinate and lead the internal scoping development sessions to create services contracts, level of effort calculations and proposals with sufficient detail to define the solution scope, EVOTEK and Client responsibilities and dependencies, critical assumptions, and work effort.
- Facilitate the creation of level of effort estimates and recommend the most appropriate pricing model to reduce risk and achieve project success.
- Maintain ongoing contact with the Sales team and organization stakeholders to monitor resolution of outstanding services related contract items.
- Additionally, analyzing subcontractor proposals, pricing models and terms to ensure compliance and risk mitigation.
- Lead internal engagement and execution of RFP/RFQ responses with cross-functional teams, ensuring compliance with individual RFP/RFQ requirements.
- Ensure the SOW consistency and accuracy for the Services delivery teams, obtaining necessary approvals for non-standard offerings.
- Maintain contract documentation and version control in centralized systems (i.e., MS Teams)
- Work both independently and collaboratively to continuously improve the process by analyzing existing templates, prior project delivery experiences and processes, incorporating internal feedback/client redlines, and making recommendations for improvements.
- Edit materials, improve their quality, and ensure they are editorially correct without altering their technical accuracy or meaning while ensuring the business, financial and legal requirements are met.
- Act as liaison with legal and finance departments to address external party business and legal redlines to SOWs and services contracts.
- Maintains professionalism and can interface with all levels of the organization as a primary point of contact for team.
- Maintain process data in Salesforce, Microsoft Teams, Mavenlink and related systems.
- Participate in sales to services delivery handoff related activities as requested.
Qualifications include but not limited to:
- Typically requires 2 - 5 years of experience authoring proposals or SOWs, preferably within IT Professional Services.
- Excellent written and oral communication with the ability to effectively communicate complex services solutions.
- Outstanding problem solving, follow-through, attention to detail and organizational skills.
- Ability to interact professionally with all organizational levels including external partners, technical- and non-technical stakeholders.
- Advanced proficiency with the Microsoft Office products, including Teams, Word, Excel, and PowerPoint.
- Basic knowledge of the practices, procedures, and processes involved in contract administration.
- Project Management experience a plus.
- Bachelor’s degree in English, Computer Science, Journalism, Business Analysis, or related field preferred.
- Salary commensurate with years of experience, technical expertise, and geographic location.
- Salary range: $65,000 to $110,000.
