Your Role:

The Project Management specialist will be responsible for the daily administrative and operational efficiency of the EAI R&D department. This role is pivotal in ensuring smooth internal collaboration, high-quality meeting execution, and rigorous tracking of cross-functional actionable items. The ideal candidate is highly organized, detail-oriented, and capable of fostering seamless communication within a fast-paced, cutting-edge AI and robotics environment.

Key Responsibilities:

  • Meeting Organization & Facilitation: Schedule, coordinate, and organize routine and ad-hoc department meetings, technical reviews, and cross-functional alignments, managing calendar logistics across multiple time zones.
  • Meeting Minutes & Documentation: Attend key departmental meetings to capture high-quality meeting minutes, ensuring complex technical discussions and strategic decisions are documented accurately and clearly.
  • Action Item & Task Tracking: Establish and maintain robust tracking mechanisms for all department action items and deliverables; proactively follow up with owners to ensure tasks are completed on schedule.
  • Internal Coordination & Execution: Act as a central communication bridge within the EAI department and with other corporate functions (HR, Procurement, Finance, etc.) to streamline daily operational workflows and drive internal execution.
  • Departmental Support: Assist leadership in gathering data, preparing operational reports, and managing departmental onboarding processes for new team members.

Basic Qualifications:

  • Experience: 2+ years of experience in project management, PMO, executive assistant, or departmental operations roles, preferably within a fast-paced technology, AI, or automotive company.
  • Education: Bachelor’s degree in Business Administration, Communications, Management, or a related field.
  • Organizational Skills: Exceptional organizational and multi-tasking abilities, with a proven track record of managing details and executing tasks under tight deadlines.
  • Communication: Fluent in both English and Mandarin (written and verbal) to support seamless global collaboration and documentation.
  • Tools Fluency: Proficiency in office productivity suites (Google Workspace, Microsoft Office) and project management tools (e.g., Jira, Confluence, or similar).
  • Adaptability: Comfortable working in a dynamic, rapidly evolving entrepreneurial environment with ambitious goals.

Preferred Qualifications:

  • Familiarity with the tech terminology of Artificial Intelligence, Robotics, or Autonomous Driving.
  • Experience in establishing operational workflows or PMO tracking systems from scratch.
  • Experience in using AI tools like Claude.

Annual Salary Range:

($80,000 - $95,000 DOE), plus benefits and incentive plans
