Job Summary

We are seeking a highly motivated and reliable Project Coordinator who follows through on commitments and takes ownership of tasks. The ideal candidate will have construction experience in the utility industry and be adept at managing multiple work groups with diverse requirements. Strong cross-functional communication skills and experience in project coordination are highly beneficial. This role has the potential to involve travel, approximately 5-10% of travel for client meetings.

Key Responsibilities

Planning & Coordination:

  • Schedule and develop meeting agendas, record minutes, and distribute follow-ups.
  • Assist in planning project deliverables and ensuring adherence to deadlines.
  • Convert action items into Jira tasks and maintain project tracking.

Process Documentation & Improvement:

  • Create and update Wiki procedures in adherence to style guides.
  • Develop and update process maps using Visio.
  • Assist in identifying and implementing process improvements.

Project Execution & Monitoring:

  • Track project deliverables per contract and customer requirements.
  • Support project managers (PMs) in monitoring project goals and deadlines in Lattice and Jira.
  • Assist with internal and external project communication.

Data & Reporting:

  • Conduct analytics reporting and provide project-specific Excel support (VLOOKUP, COUNTIFS/SUMIFS, Pivot Tables, Queries).
  • Identify project database changes and submit update requests.

Training & Team Support:

  • Train data entry and data coordination employees.
  • Assist PMs in developing and implementing training programs.
  • Provide guidance to team members on project tasks and deliverables.

Qualifications & Skills:

Required:

  • Strong organizational skills and ability to manage multiple work groups.
  • Proficiency in Jira, Visio, and Excel (VLOOKUP, Pivot Tables, Queries).
  • Experience in process mapping and workflow comprehension.
  • Ability to communicate and coordinate effectively across teams and stakeholders.

Preferred:

  • Construction scheduling and planning experience in the utility industry is a plus.
  • Knowledge of project billing and contract tracking.
  • GIS analytics experience is a plus.
  • Data analytics experience is a plus
