Role at a Glance
We’re seeking a reliable, organized Project Coordinator to work full-time based out of our Santa Ana office. This role is ideal for someone with project support, administrative, or office coordination experience who is ready to take on more ownership of project documentation, tracking, and communication. The Project Coordinator supports TAIT Environmental Services project managers and field teams by maintaining project information, coordinating vendor and billing documentation, tracking project activity, and helping ensure required information moves between internal teams, clients, and external partners.
Essential Duties & Responsibilities
- Maintain and organize electronic project files, records, and project data
- Manage project documentation and filing through online platforms, client portals, and internal systems
- Assist with project cost tracking, unit pricing expenses, vendor purchase orders, and vendor invoice review
- Compile invoice supporting documentation and prepare project invoices for submission or upload to client supplier portals
- Support collections and accounts receivable activities by tracking outstanding project invoices and following up on payment status
- Coordinate project information and action items between project managers, field teams, internal departments, clients, vendors, and other external partners
- Maintain project trackers and compile project data into clear reports, summaries, and status updates
- Track multiple project priorities, deadlines, and deliverables in a fast-paced environment
- Provide dependable day-to-day support to project managers while working independently on assigned tasks
- Take on additional project coordination and operational support duties as needed
- At least 3 years of experience in project coordination, project support, administrative support, or a professional office environment.
- Strong proficiency in Microsoft Office, including Outlook, Word, and Excel
- Clear, professional written and verbal communication skills
- Proven ability to manage multiple priorities, deadlines, and follow-up items
- Excellent organizational skills and strong attention to detail
- Comfort working with project data, reports, invoices, and online systems
- Ability to work effectively both independently and as part of a project team
- This is a full-time, in-office position based in Santa Ana, CA
- Must be able to sit for extended periods, occasionally bend or reach overhead, and lift up to 10 lbs.
- Valid driver’s license and current automobile insurance.
- Must have access to a personal vehicle for occasional errands or deliveries
Salary and Benefits
Salary range for position: $22/hr. - $30/hr.
