We are seeking a highly organized, detail-oriented Project Coordinator to provide administrative support to our Head of Production and Assistant Head of Production. This is a great opportunity for someone continuing to build experience in the film and production industry, and who thrives in a fast-paced environment juggling multiple priorities under tight deadlines.

This role starts as a part-time hourly position at 30 to 40 hours per week, with the potential to transition to a full-time role based on fit and business need.

Our office is located in Studio City, Los Angeles. This is a primarily in-office role, with occasional remote flexibility. General working hours are 9:30 AM to 6:00 PM PST with a 30-minute break.


Requirements
  • Administrative Support: Manage day-to-day administrative duties for the Head of Production and Assistant Head of Production, including email management, call coordination, expense processing, travel planning, and general office management.
  • Meeting Coordination: Schedule and coordinate conference calls, meetings, and events. Distribute meeting agendas and capture action items so nothing falls through the cracks.
  • Calendar & Deadline Tracking: Meticulously track and maintain project and production calendars to ensure deadlines and milestones are met across active productions.
  • Deck & Document Preparation: Tweak, proofread, and organize presentations, creative decks, and reports for both internal and client-facing use.
  • Staffing & Bandwidth Tracking: Track staffing and department bandwidth to ensure sufficient personnel coverage across projects.
  • Team Alignment: Show up engaged in high-level department meetings and help keep the team aligned and in the loop on updates and project statuses.
  • Office Operations: Support day-to-day office operations to keep the Studio City space running smoothly and the team focused on the work. 
Qualifications
  • Experience: 1+ year of professional experience working within a studio, network, agency, or production company in an administrative or equivalent capacity.
  • Organization: Exceptional organizational skills and attention to detail.
  • Communication: Strong written and verbal communication skills.
  • Multi-Priority Management: Ability to manage multiple priorities under tight deadlines and work well under pressure.
  • Software Proficiency: Proficiency with office and communication software including Slack, Google Workspace, Zoom, Microsoft Office, Excel, and Keynote.
  • Proactive Mindset: A proactive, no-task-too-small mindset with strong problem-solving instincts.
  • Anticipation: Ability to anticipate needs and gaps in admin support before they are voiced.
  • Adaptability: Strong problem-solving skills and ability to adapt quickly to changing priorities.
  • Collaboration: Collaborative, positive, and solutions-oriented mindset.
  • Flexible Availability: Comfortable working weekends or late nights when project timelines require it. 

Nice To Have’s
  • Prior entertainment industry or on-set experience
  • Familiarity with production management tools such as Airtable, Notion, or StudioBinder
  • Interest in growing into a producer or production management role over time
  • Experience supporting senior executives or department heads

Benefits

$40.00 per hour, with overtime after 8 hours
