Schedule: Monday–Friday 8am–4pm, 35 hours/week

School-Site Presence and Travel

This position requires regular in-person visibility across the region’s school sites. The anticipated schedule includes approximately three days per week at a designated home site and two days rotating among other regional school sites based on meetings and operational priorities. The position will typically attend one regional or school-site leadership meeting each week.

The anticipated home site will be Baldwin Park or Duarte. Candidates must be willing and able to travel regularly between regional school sites.

Our Ideal Candidate Will:
  • Serve as the Principal’s trusted administrative and operational partner, helping organize priorities, track commitments, anticipate needs, and ensure timely follow-through.
  • Maintain project trackers, calendars, dashboards, action items, and reporting tools across multiple school-site and regional initiatives.
  • Provide proactive, tactful, and consistent follow-up with stakeholders to keep projects moving and prevent deadlines or important details from falling through the cracks.
  • Draft polished emails, announcements, memos, reports, and other communications on behalf of the Principal and regional leadership team.
  • Pull, organize, analyze, and summarize data using Microsoft Excel and Google Sheets, translating information into clear reports, executive summaries, and recommendations.
  • Create professional, visually appealing presentations, proposals, flowcharts, process documents, and training materials using Canva, PowerPoint, Google Slides, and related tools.
  • Coordinate projects, meetings, leadership sessions, events, travel, vendors, and deliverables across multiple school sites and departments.
  • Support contract coordination, document management, expense tracking, and other administrative responsibilities in partnership with instructional operations leadership.
  • Monitor incoming communications, prioritize time-sensitive requests, identify potential risks or delays, and escalate concerns appropriately.
  • Review existing processes and recommend practical improvements that increase efficiency, clarity, accountability, and consistency.
  • Use AI tools thoughtfully to strengthen research, drafting, creativity, troubleshooting, and critical thinking—not replace them—while maintaining full ownership of judgment, accuracy, and the final work product.
  • Provide additional administrative and project support as needed to support smooth regional and school-site operations.

You’ll Need the Following Minimum Requirements:
  • Bachelor’s degree.
  • Minimum of five years of related administrative, executive support, or project coordination experience.
  • Experience supporting senior leadership, a Principal, or a regional or executive-level team preferred.
  • Advanced proficiency in Microsoft Office and Google Workspace, particularly Excel, Google Sheets, PowerPoint, and Google Slides.
  • Experience creating polished presentations and documents using Canva or similar design tools.
  • Excellent written and verbal communication skills with strong attention to detail.
  • Ability to manage multiple projects, priorities, and deadlines in a fast-paced environment.
  • Strong organizational skills and a demonstrated ability to establish reliable tracking and follow-through systems.
  • Ability to work independently, take initiative, exercise sound judgment, and maintain confidentiality.
  • Strong interpersonal skills and the ability to build effective relationships across departments and school sites.

Company Benefits and Perks
  • We offer a comprehensive benefits package to full-time staff, including accrued wellness hours, holiday pay, medical, vision, and dental coverage, incentives, and an employer-matched retirement plan.
  • We regularly hold social functions to foster genuine camaraderie and teamwork. At company-wide award functions, we recognize the talent and dedication of the people who help make our schools and students successful.

What you need to know about the Los Angeles Tech Scene

Los Angeles is a global leader in entertainment, so it’s no surprise that many of the biggest players in streaming, digital media and game development call the city home. But the city boasts plenty of non-entertainment innovation as well, with tech companies spanning verticals like AI, fintech, e-commerce and biotech. With major universities like Caltech, UCLA, USC and the nearby UC Irvine, the city has a steady supply of top-flight tech and engineering talent — not counting the graduates flocking to Los Angeles from across the world to enjoy its beaches, culture and year-round temperate climate.

Key Facts About Los Angeles Tech

  • Number of Tech Workers: 375,800; 5.5% of overall workforce (2024 CompTIA survey)
  • Major Tech Employers: Snap, Netflix, SpaceX, Disney, Google
  • Key Industries: Artificial intelligence, adtech, media, software, game development
  • Funding Landscape: $11.6 billion in venture capital funding in 2024 (Pitchbook)
  • Notable Investors: Strong Ventures, Fifth Wall, Upfront Ventures, Mucker Capital, Kittyhawk Ventures
  • Research Centers and Universities: California Institute of Technology, UCLA, University of Southern California, UC Irvine, Pepperdine, California Institute for Immunology and Immunotherapy, Center for Quantum Science and Engineering
