Job Description

Key Responsibilities

Project & Delivery Coordination

  • Supports project teams by maintaining and coordinating standard project artifacts, including project plans, RAID logs, status reports, and meeting documentation.

  • Tracks action items, risks, issues, and dependencies and escalates as needed to the Project Manager or Program Lead.

  • Coordinates schedules, meetings, and deliverables to ensure project activities remain aligned with agreed timelines.

  • Provides execution and administrative support to project leads; does not own overall project scope, budget, or delivery accountability.

Systems & Business Support

  • Works with business users and technical teams to gather, document, and clarify requirements under the guidance of assigned project or systems leads.

  • Supports testing, validation/UAT coordination, and release activities by organizing materials, schedules, and documentation.

  • Authors and maintains system, process, and user documentation in accordance with established standards.

  • Supports audits and inspections by ensuring documentation readiness; does not serve as validation owner or system owner.

AI‑Enabled Project Coordination

  • Uses AI-enabled tools to assist with:

    • Drafting meeting summaries, status updates, and project documentation

    • Organizing and synthesizing project information

    • Improving the efficiency and consistency of coordination activities

  • Applies AI tools in alignment with defined compliance, quality, and governance expectations.

  • Identifies opportunities to streamline coordination tasks through automation or AI assistance and raises recommendations to project leadership.

Collaboration & Communication

  • Acts as a central coordination point, facilitating communication between business stakeholders, IT partners, and vendors.

  • Prepares and distributes project communications based on direction from project leadership.

  • Communicates clearly and concisely, escalating risks, issues, or misalignment appropriately.

Basic Qualifications

Bachelor's Degree and Four Years' Experience

OR

Masters' Degree and Two Years' Experience

Preferred Qualifications

  • Experience supporting R&D, clinical, or regulated (GxP) systems

  • Familiarity with validation, audit support, or inspection-readiness activities

  • Experience working in a business environment supporting systems, applications, or technical projects

  • Experience supporting business applications or information systems in a regulated or complex environment

  • Understanding of systems lifecycle activities, including requirements, testing, validation/UAT, and documentation

  • Strong technical documentation and communication skills

  • Working knowledge of project coordination fundamentals

  • Demonstrated ability to use AI-enabled tools to support productivity, analysis, or documentation

  • Comfort working with modern digital collaboration and automation tools

  • Curiosity and willingness to experiment with AI-driven ways of working while maintaining compliance and quality standards

  • Exposure to Agile, hybrid, or matrixed project environments

  • Prior experience coordinating vendors or external partners


The salary range for this position is:

Bay Area: $117,895.00 - $152,570.00.


 

Raleigh: $101,830.00 - $131,780.00.


Gilead considers a variety of factors when determining base compensation, including experience, qualifications, and geographic location. These considerations mean actual compensation will vary. This position may also be eligible for a discretionary annual bonus, discretionary stock-based long-term incentives (eligibility may vary based on role), paid time off, and a benefits package. Benefits include company-sponsored medical, dental, vision, and life insurance plans*.
