WHAT YOU WILL DO:

We are seeking a highly organized and proactive Project Coordinator Level 1 to support our client team. This entry-level role is ideal for someone with a foundational understanding of project coordination who thrives in a fast-paced, collaborative environment. You will be responsible for coordinating daily project activities, supporting cross-functional teams, tracking progress, and ensuring successful project delivery.

KEY RESPONSIBILITIES:

  • Primary Liaison:
    Act as the central point of contact and communication for both internal stakeholders and cross-functional teams, ensuring alignment and timely information sharing.
  • Project Planning & Coordination:
    Assist in the development and execution of project plans, timelines, and deliverables, working to meet commitments on time and within scope and resource limitations.
  • Project Framework Development:
    Use internal tooling to create structured project frameworks, ensuring accurate tagging with appropriate master tasks to support consistent execution and reporting.
  • Form & Intake Management:
    Manage project intake processes including completion and updates to forms such as the Butterfly Form. Serve as the point of contact for troubleshooting and triaging any issues related to form glitches or discrepancies.
  • Process-Driven Operations:
    Operate effectively in a process-focused environment by supporting and implementing standards, procedures, and best practices that contribute to cohesive and consistent global programs.
  • Progress Monitoring & Status Reporting:
    Track and evaluate project status, monitor resource utilization, and adjust plans as needed. Review and update status reports; escalate issues to ensure on-time delivery.
  • Task & Documentation Management:
    Track project tasks, maintain accurate documentation, and ensure timely completion of deliverables. Support visibility into progress, risks, and key milestones.
  • Reporting & Analytics:
    Create, format, and distribute reports using internal tools and dashboards such as Tableau. Track service-level agreements (SLAs) and provide insight into operational performance.
  • Budget & Procurement Support:
    Assist with monitoring project budgets, managing purchase orders (POs), and working with finance to ensure accurate tracking and timely processing.
  • Cross-Functional Project Support:
    Collaborate with multiple departments to support cross-functional initiatives from planning through implementation.
  • Administrative & Operational Support:
    Support the Project Manager in managing timelines, following up on action items, and handling other duties as assigned.

ESSENTIAL CRITERIA:

  • Minimum of 1 year of relevant experience in project coordination, operations, or support role.
  • Bachelor’s degree in Business, Project Management, or a related field preferred. Equivalent work experience will be considered.
  • Proficient in Microsoft Office Suite (Excel, Outlook, Word, PowerPoint), and Google Workspace tools including Google Drive, Docs, Sheets, Slides, and Forms.
  • Familiarity with project management tools (e.g., MS Project, Smartsheet, Asana, or similar) and reporting platforms such as Tableau.
  • Strong verbal and written communication skills.
  • Excellent attention to detail, organizational skills, and commitment to quality.
  • Process-oriented with a strong ability to follow and improve structured workflows.
  • Self-motivated, adaptable, and able to work independently as well as collaboratively.
  • Ability to manage multiple priorities in a dynamic, fast-paced environment.
  • A proactive and positive “can-do” attitude, with a willingness to take ownership of tasks and resolve issues.
