Role Overview
- We’re looking for a sharp, organized Project Coordinator (ClickUp & GoHighLevel) who knows that projects rarely keep themselves on track.
- You’ll be the person connecting the dots between people, priorities, deadlines, and deliverables—coordinating multiple projects from kickoff through completion and making sure commitments turn into completed work.
- ClickUp will be your project command center, while GoHighLevel / HighLevel will help you keep client workflows, pipelines, contacts, and follow-ups moving. You’ll monitor progress, close loops, catch potential delays early, and make sure everyone knows what needs to happen next.

Key Responsibilities:
- Coordinate multiple projects from kickoff through completion.
- Create, assign, monitor, and update tasks in ClickUp.
- Manage project timelines, dependencies, priorities, and due dates.
- Monitor outstanding and overdue tasks and follow up with owners.
- Track project progress and communicate status updates.
- Identify and escalate project risks, bottlenecks, and delays.
- Coordinate meetings and communication across clients, internal teams, vendors, and stakeholders.
- Document meetings, decisions, and action items.
- Track action items through completion.
- Support client onboarding and project implementation.
- Manage workflows, pipelines, contacts, tasks, and follow-ups in GoHighLevel / HighLevel.
- Maintain accurate and current CRM and project information.
- Support SOP documentation and workflow improvements.
Requirements
Required Qualifications (Must-Have):
- 2+ years of relevant experience in project coordination, project management, operations, or a similar role.
- Practical experience using ClickUp.
- Practical experience using GoHighLevel / HighLevel.
- Strong organizational and time management skills.
- Strong attention to detail.
- Ability to manage multiple projects and competing priorities.
- Strong follow-up and task completion skills.
- Clear and professional written and spoken English.
- Strong problem-solving skills.
- Ability to identify and communicate risks or delays early.
- Comfortable communicating with clients and internal stakeholders.
- Ability to work independently and productively in a remote environment.
Preferred Qualifications (Nice-to-Have):
Experience in a digital marketing agency or a related environment, including:
- Client services
- Operations
- CRM administration
- Marketing project management
