About the Position

We are seeking an experienced and organized Project Administrator, Manager to join our team. This role will be integral to the day-to-day, efficient and effective management of the FCA practice.  The Project Administrator will be instrumental in the management of FCA resource and project schedules; identification and resolution of risks and issues impacting the FCA practice; coordinating the successful delivery of internal projects (including organizing and tracking progress, and maintaining clear communication between all project stakeholders); and providing administrative support to the SVP, FCA. In addition, the Project Administrator plays a key role in FCA meeting preparation and coordination.

Primary Responsibilities

  • Resource & Utilization Management: Partner with engagement leaders and Operations to manage project resource schedules, ensuring effective and efficient usage of FCA resources and to minimize variations between projected and actual utilization.
  • Invoice Management: Support the monthly invoice process by performing quality checks on the invoices generated by Operations.
  • Project Financials Oversight: Develop reporting on FCA projects, including their progress and financials performance.  Identify and escalate risks and issues, and support engagement leaders as they identify and implement solutions.
  • Project Documentation: Ensure all appropriate project documentation is retained during and post project completion, including performing a quarterly clean-up of PII information and supporting the collection of project case studies and post-project debriefs.
  • Pipeline Oversight: Maintain oversight of FCA’s pipeline to ensure proposals and SOWs are provided to prospects within agreed to SLAs.  Promote pipeline hygiene by actioning information that appears out of date or missing.
  • FCA Strategic Initiatives: Track the progress of and provide support to FCA strategic initiatives, including but not limited to the development and roll out of training to FCA resources, and the maintenance of FCA procedures and templates.
  • FCA Meeting Support: Prepare agendas and manage the development of related materials for FCA leadership and All Hands meetings, take minutes and ensure follow-up on action items.
  • FCA Procedures and Templates: Catalog and maintain FCA operating procedures and templates, updating them as needed to reflect current practices.  Identify opportunities for additional operating procedures and prepare for leadership review.
  • Other:
    • Prepare and present reports and updates to SVP, FCA.
    • Provide other administrative support to SVP, FCA. 
    • Coordinate and communicate with different departments and project stakeholders, maintaining clear and effective communication channels.
    • Handle sensitive information with discretion and maintain confidentiality at all times.

Required Qualifications

  • Bachelor’s degree in Business Administration or related field.
  • Proven experience as a project administrator, a resource manager, or similar role
  • Excellent leadership and team management skills.
  • Strong organizational and multitasking abilities.
  • Excellent problem-solving skills.
  • Exceptional communication and interpersonal skills.
  • Proficiency in project management software.
  • Ability to work under pressure and meet deadlines.
  • Strong attention to detail.
