Key Responsibilities
Digital Tool Operations & Ecosystem Support
- Maintain day-to-day operations of PMO digital tools, including ServiceNow SPM, MS Project, Power BI, and additional platforms as adopted.
- Troubleshoot user issues, manage access requests, support configuration changes, and ensure stable system performance.
- Conduct release, upgrade, and enhancement testing to validate functionality and user experience.
- Maintain documentation for configurations, operational procedures, and dashboards.
Dashboard Ownership (Project / Program / Portfolio)
- Own the creation, enhancement, and maintenance of dashboards that provide clarity into project, program, and portfolio performance.
- Develop intuitive reporting and visualizations in ServiceNow SPM, Power BI, and other enterprise tools.
- Partner with resource managers and PMO leaders to ensure reporting supports capacity, demand, and planning needs.
- Analyze dashboard data to identify trends, anomalies, or signals requiring attention.
- Partner with the Agile Enablement Analyst to translate Agile and Hybrid metric requirements into dashboards and reporting structures that support project delivery needs.
Data Integrity & Resource Management Stewardship
- Serve as a forward-looking steward of data integrity across all PMO digital systems.
- Proactively identify data quality issues impacting resource management, portfolio reporting, or lifecycle processes.
- Support the creation of data standards, validation routines, and quality controls that improve overall reporting accuracy.
- Ensure PMO tools fully and accurately reflect resource management structures, roles, and metadata.
AI, Automation & Advanced Capabilities
- Support and co-lead early adoption of AI-enabled features within PMO tools (trend detection, predictive indicators, automated tagging, workflow intelligence).
- Identify opportunities for automation of repetitive tasks, reporting routines, data population, or workflow steps.
- Partner with cross-functional teams and business sectors to extend AI-assisted capabilities where valuable.
- Develop technical inputs for automation or AI-driven enhancements, working in partnership with the digital enablement leader.
Framework, Templates & Process Alignment
- Ensure that PMO frameworks, templates, lifecycle guidance, and delivery expectations are accurately represented within all PMO tools.
- Adjust tool configurations, forms, workflows, and metadata structures to reflect updates provided by Framework & Lifecycle leadership.
- Support alignment across sectors to maintain consistency where appropriate.
Cross-Functional & Cross-Sector Partnership
- Collaborate with IT teams and business sectors that use PPM or related tools to identify opportunities for alignment, integration, or harmonized reporting.
- Support sharing of digital practices, dashboard structures, and emerging capabilities across the organization.
- Help ensure tools work cohesively across diverse delivery environments.
- Work closely with the Agile Enablement Analyst to ensure PMO tools reflect current Agile and Hybrid practice expectations.
User Enablement, Training Support & Office Hours
- Maintain regular open office hours to support PMO staff with tool usage, dashboards, project setup, data integrity issues, resource management data needs, and AI-related questions.
- Develop user guides, micro-learning content, and quick-reference materials.
- Partner with PMO Training to produce training content and, when appropriate, host training sessions to support tool adoption and readiness.
- Gather user feedback to identify usability gaps and improvement opportunities.

- 6+ years of experience supporting PMO tools or digital systems. Bachelors Required. Or, 8+ years with an AA degree.
- Hands-on experience with ServiceNow SPM, MS Project, or other PPM platforms.
- Ability to build and maintain Power BI dashboards.
- Strong analytical skills with a focus on data quality, accuracy, and improvement.
- Ability to translate technical concepts into clear, accessible user guidance.
