The role

You're the person who makes the office work. Not in the background front and center. You're the first face people see when they walk in, the person who catches a broken AV setup before the all-hands, and the one who knows a new hire's start date before their manager does.

This role is the on-the-ground execution layer for People Ops and Workplace in SF. You'll run daily office operations, execute onboarding and off-boarding, support benefits and immigration logistics, and build the systems and documentation that let the function scale. You'll also help us automate our own work, identifying repetitive tasks and proposing AI-assisted solutions to eliminate them.

We're not looking for someone who waits to be assigned work. We're looking for someone who sees what needs to happen and handles it.

What you'll own

Front of house and office experience
  • Greet employees and guests; manage building access and visitor protocols

  • Own the daily office environment: supplies, snacks, desks, AV, and common areas

  • Serve as the first point of contact for any office-related issue, you either fix it or escalate it fast

  • Coordinate with building management, IT, and facilities vendors

People ops execution
  • Run aspects of onboarding: HRIS setup in Rippling, system access, equipment coordination, Day 1 logistics

  • Execute offboarding: system deactivation, equipment return, exit processing

  • Support benefits administration: enrollment support, changes, employee questions, and vendor coordination

  • Assist with immigration logistics: document collection, deadline tracking, and coordination with external counsel

  • Payroll inputs: submit new hire data, changes, and terminations accurately and on time

  • HRIS hygiene: keep Rippling data clean and audit-ready

Events and culture
  • Coordinate office events, team gatherings, and culture programming

  • Support offsite logistics: venue research, contracts, vendor management, and on-site execution

Systems and automation
  • Maintain SOPs, process documentation, internal company wiki in Notion

  • Identify manual, repetitive workflows and flag them for automation or AI assistance

  • Get hands-on with LangChain tooling, we expect you to use our own products to make your job more efficient

What we're looking for
  • 2–4 years in office management, People Ops coordination, HR, or a closely related role

  • Direct experience with an HRIS platform, Rippling strongly preferred

  • High ownership mentality: you notice what's broken and fix it without being asked

  • Strong judgment on what to handle vs. escalate

  • Comfort with ambiguity and pace, this is a build environment, not a maintain one

  • Actively curious about and building with AI tools; you should be the person on your team who creates innovative solutions first

  • Genuine warmth and professionalism at the front of house, you represent the company to every person who walks through the door

Nice to have
  • Experience with immigration coordination (H-1B, OPT, PERM)

  • Background at a Series B–D tech startup

  • Familiarity with LangSmith, Claude CoWork, Rippling, Ashby, Google Workspace, Notion, Slack

Compensation
  • Annual salary range: $75,000 - $100,000

Compensation Philosophy:

We offer competitive compensation that includes base salary, variable compensation for relevant roles, meaningful equity, benefits, and perks. Actual compensation and offerings will vary based on role, level, and location. Team members in the EU, UK, and APAC receive locally competitive benefits aligned with regional norms and regulations.
