ABOUT THE ROLE

Reporting directly to the VP of Finance, this hybrid role is responsible for the accurate end-to-end processing of our corporate payroll and the day-to-day administration of our private company equity programs. The ideal candidate ensures flawless execution across payroll cycles, equity grants, option exercises, and regulatory compliance, while serving as the primary point of contact for employee inquiries.

RESPONSIBILITIES

Payroll Administration (60%)

  • Process accurate, timely bi-weekly/semi-monthly payrolls for 185+ employees using payroll systems and HRIS platforms.
  • Review, validate, and approve timecards, bonuses, commissions, and deductions.
  • Manage employee onboarding, offboarding, and process status changes in the payroll system.
  • Reconcile payroll sub-ledgers to the general ledger and prepare monthly, quarterly, and year-end payroll statements.
  • Ensure strict compliance with federal, state (New York), and local tax withholding laws and labor regulations. 
  • Administer wage garnishments, tax levies, and support annual financial and internal audits.

Stock Plan Administration (40%)

  • Administer the company's equity compensation plans (e.g., Stock Options, RSUs) using private equity management software.
  • Process equity transactions meticulously, including option exercises, cancellations, and restricted stock vesting.
  • Track and manage vesting schedules and grant criteria, ensuring perfect data integrity.
  • Partner with the Legal, Finance, and HR teams to support regulatory compliance and ensure seamless reporting for financial audits.
  • Act as the internal subject matter expert, assisting employees with stock plan questions, account navigation, and exercise processes.

ABOUT YOU 

  • Bachelor’s degree in Business, Accounting, Finance, or a related field.
  • 3+ years of progressive, hands-on experience handling both payroll processing and equity administration. Private company equity experience is strongly preferred.
  • Advanced proficiency in Microsoft Excel. 
  • Strong working knowledge of modern HRIS/payroll platforms and dedicated equity management tools. Experience with Justworks and Carta is preferred but not required.
  • Familiarity with taxation concepts surrounding equity compensation, global mobility (if applicable), and multi-state payroll regulations.
  • Exceptional organizational skills, high attention to detail, and the ability to maintain strict confidentiality with sensitive financial and HR data. 

COMPENSATION

This role has a base salary range of $125,000 - $150,000.  Compensation is determined based on experience, skill level, and qualifications, which are assessed during the interview process.
