BuildOps is looking for a Payroll Manager to join our rapidly growing team. You will be directly reporting to the Controller. We are looking for a motivated self-starter who can work in a distributed team environment. 

What You’ll Do

Payroll (ADP Workforce Now)

  • Manage full-cycle U.S. payroll through ADP WFN, including hires, terminations, compensation changes, bonuses, commissions, and equity exercises (NSOs/RSUs).
  • Ensure accurate processing of multi-state payroll, tax withholding updates, SUTA/SUI registrations, and federal/state compliance.
  • Review payroll previews and funding, ensuring accuracy and timeliness
  • Support quarterly and year-end processes (W-2, W-2C, 940/941 review) and assist with audits.
  • Review and process payroll for Canadian employees through ADP Canada
  • Assist with taxable benefits, statutory holiday pay, overtime calculations, and provincial leave requirements.
  • Manage year-end reporting including T4, T4A, and RL-1 (Québec).
  • Serve as the main point of contact with Canadian payroll partners and ensure proper configuration and funding.

Benefits Administration

  • Reconcile all health, dental, vision, life, disability, and supplemental benefit invoices against payroll deductions each billing cycle.
  • Ensure alignment between employee elections, insurance carrier invoices, and ADP payroll deductions.
  • Partner with HR and Finance to resolve discrepancies, correct arrears, and maintain accurate benefits accounting.
  • Communicate with brokers and carriers to resolve eligibility, enrollment, or billing issues.
  • Manage and reconcile payroll-related activities involving Navia, including health care and dependent care FSA, HSA, commuter/transit benefits, and COBRA administration.
  • Ensure accurate deduction setup, enrollment file feeds, employer funding, and issue resolution.

Compliance, Controls & Reporting

  • Document payroll procedures and improve internal controls.
  • Ensure HRIS system is up-to-date and ensure accuracy.
  • Partner with HR on onboarding, compensation changes, benefit updates, and offboarding tasks.
What We Look For
  • Bachelor's degree in accounting, finance, or related field.
  • 7+ years of payroll experience, including both U.S. and Canadian payroll processing.
  • Strong, hands-on experience with ADP Workforce Now (WFN).
  • Experience administering Navia benefits (FSA, HSA, commuter, COBRA).
  • Understanding of U.S. payroll tax laws and Canadian CRA/provincial employment standards.
  • Experience with year-end filings: W-2, W-2C, 940/941 (U.S.) and T4, T4A, RL-1 (Canada).
  • Proficiency in Excel and comfort working with HRIS/payroll integrations.
  • CPA & audit experience is a plus.
  • Experience in a SaaS or technology startup environment is a plus.
  • Strong understanding of accounting principles and procedures.
  • Excellent attention to detail and strong organizational skills.
  • Ability to work independently and manage multiple priorities.
  • Strong written and verbal communication skills.
  • Ability to work independently and as part of a team.

Compensation:

$108,000 - $125,000 annual salary + equity + bonus
