Job Summary & Responsibilities

Forge ahead with WSB. We are seeking a Payroll Coordinator (remote) to add to our growing team. The Payroll Coordinator supports the day-to-day administration of payroll operations, including new hire setup, timesheet review and processing, and payroll data maintenance. This entry-level role works closely with the Payroll team and HR team to help ensure accurate and timely payroll processing for WSB staff.  WSB was founded on the understanding that culture drives results, and we've dedicated ourselves to the value of strong relationships, collaboration, and forward-thinking ideas. What you will do:

New Hire & Payroll Setup (15%)

  • Set up new hire records in Deltek and send new hire setup emails to relevant stakeholders.
  • Process direct deposit updates and changes for employees.
  • Generate and distribute iReports as needed for payroll and management reporting.

Timesheet Processing & Support (70%)

  • Review employee timesheets for accuracy and completeness; and send timesheet-related emails to staff and managers.
  • Use AI tools to complete weekly timesheet audits.
  • Identify and follow up on missing and in-progress timesheets to ensure timely submission.
  • Oversee the timesheet approval process, moving timesheets from in-progress to submitted to approved, and posting all approved timesheets.
  • Respond to and resolve timesheet tickets submitted by employees.
  • Process transaction entries and post timesheets in the payroll system.

Data Maintenance & Recordkeeping (15%)

  • Audit and update employee allowances on a weekly basis.
  • Enter PTO for future pay periods as requested.
  • Perform other duties as assigned.
  • Update employee records as necessary

What you will bring:

  • High School diploma or equivalent required.
  • Preferred: Associate’s degree in Accounting, Business, or a related field.
  • 1-2 years of payroll, accounting, or administrative experience.
  • Experience with payroll or HRIS systems (Deltek preferred) is a plus.
  • Strong attention to detail and ability to maintain confidentiality.
  • Microsoft Suite Products (e.g. Outlook, Excel, Word, PowerPoint, SharePoint, OneDrive, etc).
  • Experience with Deltek preferred.
  • Work is primarily performed in an office environment with standard office equipment.
  • May remain in a stationary position for extended periods.
  • May be required to work onsite at a WSB office, as needed, up to five days per week, as required by the project, client, or hiring manager.
