About the Workplace Concierge Headspace:

Headspace is looking for a Workplace Concierge to join our growing Santa Monica Headquarters. The Workplace Experience (W.X.) Team is part of People Operations. This additional Concierge role will be partnering with our existing Concierge team and the face of Headspace when guests arrive. They will represent our culture internally and externally and is a familiar and friendly face for all Headspace employees. The Concierge will manage the ebb and flow of guests, visitors and their experience while they are on property . This role is multi-functional and the concierge will collaborate/coordinate several programs for Headspace, including but not limited to Parking/Transportation, food service management, conference room coordination/booking, security badging, mail and package delivery coordination. This role will work closely with our existing Concierge Team and Office/Facilities Management teams to make sure we are delivering our optimal experience for both our guests and staff. This is a multi-functioning role, as this person will act across the board as a conduit for needs and communication for the W.E. Team.

How your skills and passion will come to life at Headspace:

  • The candidate will be responsible for front door coverage from 8:30 AM until 5:30 PM daily. Breaks and coordinated time away will be covered internally by staff. The Front Desk Concierge will work closely with our on-site security team to screen guests and check them in to our system.
  • Greet all guests with a warm welcome and a friendly face, and coordinate the entire guest experience, from initial hello to making sure that visitors needs are met during their experience in our offices.
  • Answer incoming telephone calls and forward calls appropriately; retrieve and forward voicemail messages.
  • Respond to in-person and ticketed requests from employees and management.
  • Maintain cleanliness within the front desk area and daily build up of clutter in the kitchen area. 
  • Sign in guests, assure the NDA is executed and assign them with the appropriate security badge for their office visit.
  • Assist with ensuring office supplies are stocked, and reordered when supply is low.
  • Coordinating our vendor’s relationships with our HQ Office Manager.
  • Maintain the office and conference rooms to ensure everything is organized and operational.
  • Maintain kitchen area and restock snacks as needed, ensuring that there is fresh and available coffee.
  • Manage conference room scheduling and conflicts.
  • Coordinate incoming and outgoing mail and packages with USPS, FedEx and UPS vendors.
  • Help research travel, accommodations, etc., for employees as needed.
  • Coordinate and schedule courier services as directed for pick-up and/or delivery and provide confirmation.
  • Serve as a general information resource for all callers, visitors, and employees. Provide appropriate public information to inquiries regarding the company and office location.
  • Provide employees with key information regarding expected visitors, telephone extensions, office events, and all other ad hoc inquiries.
  • Assist the Headspace W.X. Team with upcoming office events, happy hour, and catered lunches.
  • Coordinate daily lunches for all employees with our contracted Catering Service (M-TH) and ensuring that food is delivered and available each day as scheduled.
  • Interact with the Landlord/building Management team as the need arises from day to day challenges.
  • The Successful candidate will be very well versed in all of our IT equipment and software and will be expected to manage the day to day operations of the conferencing and inter office connectivity. (Headspace is also open to consider training on software and equipment.)

What you’ve accomplished:

  • BA/BS degree preferred
  • 2 + years of experience in reception/front desk/office management capacity or in a Customer facing role
  • Proven ability to manage time efficiently 
  • Effective communicator, verbally and in writing, with employees of all levels
  • Ability to work independently and in a team environment, maintaining an attitude of anything is possible
  • Work well in a fast-paced environment and maintain a positive approach to the work you do & interactions you have
  • Team player & collaborative approach to work
  • Project management skills showing accomplishments with managing budgets and schedules
  • Ability to self-monitor your “at work” schedule and allow flexibility around the greater needs of the office and the personnel who work on the team

We're located in the heart of Santa Monica on Michigan + Cloverfield, just off the 10 freeway. Bergamont train station is right behind our office.
