Role Overview
InStride is excited to share our Office Manager position. InStride is currently transitioning offices and is looking for a rock star to help us manage and grow the office space led by our VP of Talent and Chief of Staff. In this role, you will be responsible for being a part of the day-to-day functionality, management, and upkeep of a brand new office in Downtown Los Angeles. This is an awesome opportunity for someone who is looking to continue building their office management skills and is looking to create a best-in-class office experience for all InStriders, partners, and visitors. This is a role for someone who works well independently, is able to source and manage quality vendors, and is passionate about our mission.
Key Responsibilities
- Manage the daily office operations of our hybrid-work model and ensure that office is operating smoothly
- Closely partner with our Chief of Staff, building managers, leaders, and vendors to ensure we have a best-in-class office space
- Order and stock office equipment while managing to an office budget
- Perform receptionist duties: greet visitors, and answer and direct phone calls
- Receive and sort incoming mail and deliveries, and manage outgoing mail
- Assist with office layout planning, including managing and maintaining IT infrastructure in partnership with our IT team.
- Lead project planning & execution of an upcoming office move, including furniture disassembly/assembly, vendor management & new furniture purchases in line with a specific project timeline
- Identify opportunities for process and office management improvements, and design and implement new systems
- Ensure prompt response to all orders, requests, issues, and complaints
- Partner with the People team and other leaders to coordinate in-office & local events/activities that drive InStrider engagement & energy
- Oversee the implementation of ongoing programs to address emerging issues and build an effective ticketing system
- Partner with our People Operations Team to execute and train employees on safety protocols and programs including security, emergency response, earthquake readiness, fire safety, OSHA, and Workers Compensation.
- Select, manage, and develop workplace services, contractors, and vendors to provide services including catering, snacks, and beverage machines
- Partner with the building cleaning crews to ensure that our office is clean, organized, and well maintained.
Ideal Profile
- 5+ years of experience in office management, facilities, building operations, and/or real estate project management. High-tech startup experience is a plus
- Bachelor Degree in a related field
- Proven success with office projects, office moves/relocations, and other office implementations
- Proficient in Google Suite or Microsoft Office applications
- Knowledge of OSHA and other safety regulations
- Able to lift up to 20 lbs regularly
- Strong ability to build relationships and communicate with all levels including leadership, managers, and InStriders across the organization
- High attention to detail, with the ability to work confidentially and instill confidence in those you are working with
- Flexible, self-motivated, and able to deal calmly and professionally with ambiguous data while leading an environment of constant change
