Office Coordinator
Swell Investing is on a mission to help every person make an impact while investing in their financial future. As a key member of the Swell team, you will help us build a creative workplace and manage the day to day office operations of Swell. You’ll work with a team of world-class designers, developers and innovators in the coolest office in Santa Monica.
We are looking for a self-starter with a can-do attitude who is organized, efficient, and reliable. Experience at a startup where you had direct responsibility for implementing operational processes is a plus. The person has excellent communication and people skills and maturity in handling business and confidential situations.
The person in this role will:
Take ownership of Swell office operations - exercising discretion to ensure our office of 50 Swellies runs smoothly on a daily basis.
Provide lean thinking approaches to reduce spend
Manage facility needs including coordinating meeting spaces, scheduling daily catering and services, ordering equipment, supplies, and materials as needed.
Coordinate meetings or events by arranging for facilities, catering, issuing invitations, and controlling an event budget
Work closely with Swell leadership and Operations Management
Be hungry to work with a team of talented colleagues and grow with the company by helping wherever needed.
Lead planning and set-up for events hosted in our office
Handle routine requests like picking up copies, distributing mail, and occasionally booking travel
Consistently meet deadlines with minimal supervision
Support the strategy team with periodic evening and weekend business events at Swell
Support the strategy team in local outreach for partnerships
Support the operations team with occasional bookkeeping and administrative tasks related to office lease
Be available to support leadership with preparation for, and at times attend, important meetings which may require travel or work outside normal working hours
Support product team in Sprints to phone screen interviewees for research, facilitate day
Be the first point of contact when welcoming visitors to the Swell offices
of interviews and synthesize/document interview feedback
The ideal candidate:
Has a proven track record of exercising sound judgement when working independently
Has a growth mindset and and a desire to stretch to new roles/capabilities
Is Naturally detail oriented, with an obsessive need to document and communicate findings
Has a conscientious approach and desire to always meet the highest of standards
High-energy, team-first, positive attitude: Must be motivated to work hard in a fast-paced environment
Has experience with Slack, Google Suite, and Concur and generally is resourceful & adaptable to embracing new technology
Is an awesome written and verbal communicator. Friendly, upbeat and creative.

Financial fluency and a curiosity for social impact investing a plus.
Local (LA and surrounding area) knowledge and network is a plus.
