Role Overview
InStride is looking for an Executive Assistant to support our tremendous executives. This is an awesome opportunity for a thoughtful, adaptable, and fast-thinking Executive Assistant (EA) to support and optimize the day-to-day activities of our fast-paced senior management team.
You will be responsible for calendar management, expense reporting, travel logistics, event management, and ad-hoc projects as needed by your executives. You will interface with external clients, partners, and external and internal executive assistants on a daily basis, so a professional and polished presentation is a must in addition to confidence, discretion, and the ability to work with multiple personalities at various levels. This EA will also work with a team of other EA's to organize team events and activities, manage office build-out activities, help with the talent recruitment process, and establish/maintain a great culture as the company grows!
Key Responsibilities
- Responsible for fully owning the executive's calendar, time, and productivity. Requiring professional interaction with a variety of internal and external executives, teams, and assistants
- Accountable for managing travel arrangements and expenses, with the expectation of consistently optimizing travel logistics and processing with minimal oversight
- Consistently maintaining the highest level of confidentiality with sensitive documents & information
- Accountable for managing travel arrangements for the Vice Presidents of your executives, with the expectation of using good judgment and detail-orientation to arrange the travel logistics.
- Using a quick approach to managing tasks effectively, with the ability to align fully with the team’s speed, schedule, and pace
- End-to-end management of team-led events and team functions, with attention to detail and attention to staying within budget
- Serve as a high-traffic communication bridge across internal and external groups for the coordination of key meetings, events, and other logistical needs
- Partner with the other office EA’s to manage a variety of team and office needs and initiatives, including infrastructure needs, supplies, and other priority ad-hoc office projects
- Ability to independently prioritize conflicting needs quickly in a professional manner
Ideal Profile
- 3+ years or more of experience as an administrative or executive assistant, with C-suite experience in a fast-paced environment
- Bachelor’s degree or equivalent relevant work experience
- Experience supporting multiple executives and managers
- Experience using Google Suite and Expensify is a plus
- A high degree of professionalism and ability to maintain confidentiality
- Excellent independent judgment. Ability to consider, compare, and evaluate different courses of action, and make an informed decision in the best interests of the executive and team
- Extremely organized with their time and with the executives time
- A professional and confident demeanor, with a can-do attitude. Professional maturity and EQ to understand the relationship between stakeholders and activities, manage confidential information, sensitive topics/stakeholders
- Fast learner, initiative taker, and savvy with tech tools and resources
- Excellent written and verbal communication skills, with strong attention to detail
- High EQ, comfort with ambiguity, and a “no job too small” startup mentality
