About the role

We are searching for a highly driven, take-charge Executive Assistant to support our Chief Executive Officer, Chief Operations Officer and Chief of Staff to CEO. 

You will not only be their right hand partner but will play an integral role inside their organizations as you will have a high amount of visibility into their day-to-day and work cross-functionally across the company. You will own all administrative, logistical, and project-related tasks to support our CEO, COO & CoS. 

We are looking for someone who is a great communicator and thrives in a hyper-growth, multi-cultural environment. It’s imperative that you’re able to juggle fast-changing priorities, all while incorporating the highest degree of integrity, discretion, professionalism and can-do attitude. 

Our ideal candidate will work out of our global HQ, in Redwood City, CA. Our plush, modern HQ is walking distance from Cal-train, has free garage parking and is stocked with amenities.

Key Responsibilities:

  • Manage CEO’s extremely active calendar of in-person, video and external meetings across multiple global time zones; working closely with the Chief of Staff (CoS) to the CEO, senior leaders and other EAs within the organization 
  • Host and greet CEO’s visitors in Redwood City Office
  • In partnership with the Chief of Staff, collect and prepare information for meetings with staff and outside partners; keeping the CEO well informed of upcoming commitments, responsibilities and shifting priorities that facilitate the CEO's ability to effectively guide a leading global company
  • Strategically prioritize inquiries and requests while troubleshooting conflicts
  • Make sound judgments and recommendations 
  • Assumes all administrative responsibilities from the executives to enable him/her to focus on the business issues of the day
  • Partner with CoS on global All Hands meeting cadence and structure, corporate calendar and various company wide initiatives
  • Understand business priorities to proactively anticipate needs in advance of meetings, conferences, etc and drive efficiencies. Have the ability to see the big picture, be alert and receptive on CEO’s behalf
  • Serve as the executive’s Point of Contact among internal and external executives, employees, clients, media, agencies and other external partners
  • Facilitate offsite meeting planning and execution, including hotel and meeting space procurement, contract negotiation, vendor management, room block management, team building activities, travel logistics, catering, all within budget
  • Coordinate flawless extensive international and domestic travel
  • Provide general administrative support, such as email, international currency expense reporting and contact database management
  • Arrange board meetings w/ Board members and internal stakeholders. Ensure stakeholders are advised of deadlines
  • Manage the Office of the CEO and partner with the CoS on the budget, Leadership Team best practices and OKRs
  • Partner with marketing department on external speaking engagements and commitments
  • Compose email correspondence and communicate on behalf of executive, ideally in both Korean and English
  • Act with the utmost discretion and tact as the CEO’s global ambassador
  • Additional support of calendar management and expense and travel management for the Chief Operations Officer and Chief of Staff to CEO, both based in RWC


Qualifications

  • Previous experience supporting a technology CEO preferred
  • Professional work experience supporting multiple C-level executives, ideally in a hyper-growth tech company or fast-paced environment 
  • Strong communication skills and the ability to partner cross-functionally at all levels of the organization
  • Ability to work independently under pressure, handle a wide variety of activities and confidential matters with discretion
  • High attention to detail and a dedication to accuracy and timeliness
  • Ability to work in Redwood City office
  • Occasional travel may be required. Ability to travel internationally with no legal restrictions. 
  • Familiarity with standard technology computer systems and the ability to learn new programs as needed
  • Bilingual fluency in Korean and English preferred
