Job Description SummaryProvide administrative support for the Account Manager and all C&W Services employees within region while working independently on projects. Perform accounting, bookkeeping, and record keeping functions according to company procedures and the site contract.Job Description
- Ensure new employees are provided the appropriate access and are trained on the business automation tools C&W Services uses (examples listed above). May train directly or will secure the appropriate subject matter expert to provide training.
- Assist hiring managers or local operators with coordination of employee hiring/onboarding events such as: background checks, Workday tasks, completion of the Form I-9 and provisioning of corporate assets (systems access, cell phones, laptops and vehicles) for either home office or site administrative operations.
- Works in coordination with relevant functional partners (such as Human Resources, Safety).
- Utilize work order management system in conjunction with other business tools (Procure+, MyAP, Works, etc.) to create, manage, and bill customer work orders on a timely basis.
- Support regional management and finance team in monthly financial closing to include, but not limited to, the following tasks: follow financial closing deadlines, run applicable financial reports in Hubble, compile journal entries for reclasses/accruals/deferrals to be processed by finance, review and distribute GL, perform P&L scrub with DO’s, run analysis (deep dive) on applicable accounts, collect notes, and schedule P&L review call with finance.
- Oversee the daily/weekly transactional activities associated with Workday and Kronos. Ensures transactions are accurate, approved and executed in a timely fashion. Reviews payroll time records for missed punches, paid time off and approvals, when appropriate
- Assist lead operations coordinator in processing account level billing changes via MDF and ensuring SOX compliance standards are met. Act as backup for lead operations coordinator or other operations coordinators in their absence.
- Support the operational leadership with the collection, compilation and analysis of account information for client consumption for periodic business reviews or ad hoc requests. May prepare client facing presentation materials.
- Roll out and facilitate implementation of corporate programs, systems and initiatives.
- Provide support for special projects or events, such as startups, account reviews, job fairs and other activities as required by the CWS Management team.
ADDITIONAL QUALIFICATIONS:
- Must possess demonstrated leadership and influencing skills
- Must be able to work independent and exercise independent judgment.
- Software proficiency in MS Office (Excel, Project, Word, power point). Must demonstrate an ability to learn and teach various business automation tools. (direct experience with Kronos, Workday, JDE financial systems are assets)
- Well presented, highly organized and task focused combined with outstanding communication and interpersonal skills
- Demonstrated ability to prioritize, plan and manage a varied workload.
- Strong numeracy skills with an ability to understand basic financial documents
- Technologically savvy with the ability to troubleshoot basic problems with devices such as timeclocks, smart phones, laptops and tablets
- Ability to recognize, document and optimize business processes.
- Must have exceptional customer service and conflict resolution skills.
- Effective written and verbal communication skills

The compensation that will be offered to the successful candidate will depend on factors such as whether the position is covered by a collective bargaining agreement, the geographic area in which the work will be performed, market pay rates in that area, and the candidate’s experience and qualifications.
The company will not pay less than minimum wage for this role.
The compensation for the position is: $27.00 - $27.00
