Role Summary

As Operations & Executive Coordinator, you will serve as a key connector across WET’s Legacy / WET Care division—balancing operational logistics with high-level administrative support. This hybrid role is approximately 80% operations coordination and 20% executive support for a Vice President overseeing manufacturing and global service initiatives.

You’ll manage technical scheduling, travel, and project documentation while also supporting executive priorities ranging from meeting coordination to strategic follow-up. This position is ideal for someone who excels at multitasking, thrives in fast-paced manufacturing or service environments, and enjoys keeping leadership and teams moving in sync.

Key Responsibilities

Operations Coordination (≈ 80%)

  • Plan, organize, and manage complex service schedules and technical logistics for global water feature maintenance and repair.

  • Coordinate travel, lodging, and field service arrangements, ensuring on-time deployment and efficient execution.

  • Review, process, and track invoices, deposits, and purchase orders in partnership with Finance.

  • Maintain up-to-date contracts, project files, and documentation in coordination with Legal and internal teams.

  • Capture action items and follow up on progress across internal meetings and client communications.

  • Support process improvement initiatives, resource planning, and performance tracking to enhance operational efficiency.

Executive Support (≈ 20%)

  • Provide direct administrative and project support to the Vice President of Legacy / WET Care.

  • Manage calendars, prepare materials for meetings, and coordinate team sessions and executive travel.

  • Draft correspondence, consolidate status updates, and assist in preparing presentations or reports.

  • Ensure key initiatives and communications from leadership are tracked and executed effectively.

  • Handle confidential information with discretion and professionalism at all times.

Qualifications
  • 5+ years in operations, manufacturing, or project coordination; experience supporting senior leadership strongly preferred.

  • Strong organizational and problem-solving skills with the ability to manage shifting priorities and multiple projects.

  • Effective communicator, equally comfortable with technicians, management, and clients.

  • Proven experience managing travel logistics, budgets, and vendor coordination.

  • Proficient in Microsoft Office (Excel, Outlook, Teams); experience with Smartsheet, QuickBooks, or ERP systems a plus.

  • Highly reliable, resourceful, and energized by detail-oriented, hands-on work.
